Create Estimate from Template Screen

Article summary

The Create Estimate from Template screen is displayed when you select the Create Estimate option from the Options menu of the Opportunity screen provided that the opportunity was originally created based on an opportunity template. This screen allows you to specify how the information in the template will be applied when establishing the initial estimate on the opportunity.

If no checkboxes are selected, Aspire defines all quantities, costs, and pricing based on the services and items in the estimate of the opportunity template. The table below explains each of the checkboxes.

Update Takeoffs

Use takeoff information from the property

Item quantities in kits on the estimate are calculated based on the takeoff values for the property rather than using the quantities from the template.

Update Costs

Get the latest cost from the catalog and recalculates the price

Rather than using unit material cost from the opportunity template, costs are loaded into the estimate from the item catalog.

Update Prices

Get the latest markups from system pricing and recalculates the price

Rather than using the markups specified in the opportunity template, markups and net profit are fetched from the system pricing defined in Admin.

Update Kits

Get the latest kit items and production rates and recalculates the price

Rather than using the kits as defined in the opportunity template, reload the kits from the item catalog updating their items, production rates, and other item information. Other item information includes; Item Name, Item Description, Unit Type, Catalog Item Category, and Force Unit Pricing.

Contact Signature Screen

The Contact Signature screen allows the customer to sign the proposal for the selected opportunity. It is displayed when you select the Sign and Won option available in the Options menu for the Opportunity screen. The Sign and Won option are available only if you have the permission to edit the opportunity.

Contact

The Contact Signature screen provides a drop-down that contains a list of the contacts associated with the property.  You should select the name of the customer who is signing. By default when the screen is displayed, the primary contact for the property is selected.

Sign Above

Area allowing the customer to sign their signature using their finger or a stylus.

Clear

Clicking this clears the signature allowing the customer to start the signature over.

Save

Clicking this saves the signature and wins the opportunity. You will not be able to save unless a contact is selected in the drop-down, and a stroke has been applied to the signature area.

Cancel

Clicking this returns you to the Opportunity screen without saving the signature or winning the opportunity.

Invoicing Info Screen

The Invoicing Info screen is available from the Invoice Infoicon on the Opportunity Screen and allows you to specify or change the information that Aspire uses when displaying invoices, generating invoices, or sending invoices to the customers. By default, the information needed for invoicing is populated based on the property billing contact and standard payment terms for the property.

The following table describes the screen elements on the Invoicing Info screen.

Billing Contact

Aspire automatically sets this field to the default billing contact for the property. The drop-down will allow you to select any other contact associated with the property.  This might happen if, for example, the contact is chosen as a sub-contractor for a very large job on a property for which the company sometimes performs work directly.  In this case, you could make the contractor the billing contact for the specific sub-contracted job.

Company

Read-only.  Name of the company associated with the selected contact.

By default, filled in based on the selected billing contact.  You can replace the default value.

Customer Contract #

Some of the customers may provide a number associated with the contact that they want you to provide on the invoices.  You can enter that number here.

For this field to be available on the invoice, you must specifically request the AspireCare team to include it on the invoice layout(s).

Customer PO #

Some of the customers may provide a number associated with the contact that they want you to provide on the invoices.  You can enter that number here.

Payment Terms Override

Payment terms are defined on each property and will be used by default when invoicing and collecting payments for the customer. You can override the property payment terms for a specific opportunity by providing the override value in this field. Once has invoice has been sent for an opportunity, this field becomes disabled.

Show Invoice Details

The Show Invoice Details selection is only applicable to work order opportunities whose Invoice type is Fixed Price on Completion. The field will not display on any other invoice type.  This option will cause line items listed underneath the services on the estimate to appear on the invoice.  The items will be shown both on the Invoice screen and on the printed invoice.  The three options available for this field are:

  • Actual – Aspire will display the actual quantity of items installed and labor hours expended on the job.
  • Estimated – Aspire will display the actual items and hours estimated for the job.
  • None – Aspire will not display any items under the service on the invoice.

Once an invoice has been sent for an opportunity, this field becomes disabled.

Retainage Percent

Retainage represents payment holdbacks (i.e. 10%) by customers until they are fully satisfied with the job or some portion thereof. Retainage is simply entered as a percentage. The Retainage Percent field is only applicable to work order opportunities whose Invoice type is Fixed Price Open Billing. The field will not display on any other invoice type.  When you specify a retainage percent, it affects the behavior of the Invoice Open Billing screen used for creating invoices on Fixed Price Open Billing work orders.

Retainage Maturity DateAspire allows you to establish a Retainage Maturity Date for Fixed Price Open Billing work order opportunities. This is the date after which you would expect to create the invoice for retainage.  The Retainage Maturity Date is available as a field in the Invoicing Assistant so that you can filter on it to identify the retainage that is due to be invoiced.
Convenience Fee Override

When creating an opportunity for a customer, the sales representative may negotiate to modify or waive the company’s standard credit card convenience fee specified on the Electronic Payments tab of the Application Configuration screen. Aspire allows you to override the convenience fee for individual opportunities from the Override Convenience Fee % field. When the Invoicing Info screen is displayed, this field will default to the standard fee percent value. You can change it to any positive percentage or to zero (0).

Reset Convenience Fee 

Once you have overridden the convenience fee by entering a value into the Override Convenience Fee % field, clicking the Reset Convenience Fee icon resets the fee to the system default as defined on the Application Configuration screen and the Branch screen.

Email Opportunity Proposal Screen

This screen allows you to specify parameters for emailing proposals. The screen is accessed from the following locations:

  1. Select opportunities on the Opportunities Search List screen and then select the Email option from the Bulk Actions menu.
  2. Select the Email option from the Actions menu on the Opportunity screen. (If selected from here, the word Bulk will not appear in the title.)

Proposals are always sent to the primary contact for the property.

CC

This field allows you to add contacts who will also receive all the proposals – this might typically be an internal person such as an owner, sales manager, or administrator who should be aware of all proposals.

Subject

Enter the subject of the email. Placing tokens in the subject allows you to create a general message that will contain information specific to each selected opportunity (for bulk emailing). If the Electronic Signature feature is enabled in Aspire, this field is pre-filled with the value specified on the Electronic Signature tab or the Application Configuration screen.

 Displays the Tokens screen for selecting tokens.                                      

Attach Proposal

Optional. When Aspire generates the email message(s) to be sent to the desired recipient(s), it will attach a printable (pdf) Proposal if this field has a value.  The Attach Proposal field allows you to choose the format for the proposal. Only formats that they have explicitly defined for this report will be available.  If you do not select a format, no attachment will be included.

Enable Electronic Signature

This checkbox will only be shown if the Electronic Signature feature is enabled in Aspire. It determines whether electronic signing is available for the specific proposals being sent in the batch. If this checkbox is checked, the [ElectronicSignatureLink] token should be included in the body of the email giving the customer access to electronically sign the proposal.

Email Body

This field provides the email body to accompany the invoice.  Placing tokens in the body of the message allows you to create a general message that will contain information specific to each selected opportunity. If the system is set up to allow the customers to electronically sign proposals, you should consider the following: 

  • The email body will be pre-filled with the default values specified during the setup in the Electronic Signature tab of the Application Configuration screen. 
  • Ensure that the opportunity number is included in the email body because that item of information is necessary for you to complete the signature.

Copy Opportunity Screen

This screen allows you to copy an opportunity to create another. This screen is available from the Copy option available in the Options menu of the Opportunity screen. This screen allows you to specify the property on which to create the new opportunity. It also provides options that allow you to determine takeoffs, costs, prices, and kits are copied from the existing opportunity or are reset based on the new property (takeoffs) or the item/service catalog (costs, prices, and kits).
