Creating Estimates by copying Opportunities

Purpose

Copying an Opportunity allows you to create a new Opportunity on a Property using information that already exists in Aspire.

When to copy an Opportunity

  • Rebidding a lost proposal: If a customer declined a proposal in the past but is now interested again, you can copy the original Opportunity (even one with a Lost status), update the pricing, and send the new proposal.

  • Correcting an existing Opportunity: You can use the Copy option if an Opportunity needs significant correction after work has started, without creating a change order. This process is often used with the Swap Work Ticket Costs feature. After copying and correcting the Opportunity and swapping the Work Ticket costs, you can delete the old Opportunity.

How to copy an Opportunity

You can copy an Opportunity as long as there are no revisions or edits in progress on the Estimate.

  1. From the Opportunities screen, find and select the Opportunity you want to copy.

  2. Select the action menu (...), then Copy.

  3. Aspire displays the Copy Opportunity screen. If you do not select any checkboxes, Aspire creates the new Estimate based on the original Opportunity's services and items.

Update checkbox options

On the Copy Opportunity screen, first select the Property from the Copy To Property menu to assign the new Opportunity.

The following checkboxes allow you to update information on the new Opportunity.

Update Takeoffs

When you select this option, Aspire searches the Property for takeoffs and applies those values to the Items or Kits in the Estimate.

Important: If an Item or Kit does not have a takeoff item assigned in the Item Catalog, Aspire sets the Quantity field to 0.

Warning: Do not select this option when copying a T&M Estimate or renewing a contract unless you want Aspire to pull new takeoff values. The system may set fields to 0 that previously had values, such as hours or material quantities.

Update Costs

When you select this option, Aspire updates costs for Items (including Items in Kits) based on values in the Item Catalog instead of the original Opportunity. This recalculates prices for the Estimate.

Select this option if you want to base the new Estimate on current Item Catalog costs.

Warning: Do not select this option if you want the pricing to remain the same as the original Opportunity.

Update Prices

When you select this option, Aspire applies the markups defined on the Pricing Mark-Ups screen (in Estimating) to all services on the new Opportunity. This recalculates prices.

Select this option if your system markups have changed since the original Opportunity was created and you want to use the new markups.

Warning: Do not select this option if you want the pricing to remain the same.

How overrides are affected

If you set an override on a service in the original Opportunity, the override will carry over to the new Opportunity. Selecting Update Prices does not affect service-level overrides.

Update Kits

When you select this option, Aspire updates Items and production rates for all services based on the Kits defined in the Item Catalog. This recalculates prices.

Select this option if you want to use the most current Kits and production rates from the Item Catalog.

Warning: Do not select this option if you want the pricing to remain the same. If your company uses template-specific production factors, selecting Update Kits replaces those factors with the Item Catalog factors.

Copy Default Routes

When you select this option, Aspire copies all default routing and sequence numbers to the new Opportunity.

Select this option when renewing a contract or copying the Opportunity onto the same Property.

Clear Start and End Date

When you select this option, Aspire clears the Start and End dates on the new Opportunity, leaving both fields blank.

Select this to prevent copying previous schedule dates to the new Opportunity or when you plan to manually enter new dates.

Copying an Opportunity vs. using a template

Copying an Opportunity and using an Opportunity Template are similar. Here are examples of when to use each one.

  • Copying an Opportunity (as described in this article) is best for rebidding a lost job with new pricing. This process creates a new Opportunity on your desired Property.

  • Opportunity Templates are best for new, repeatable jobs. Using a template saves time by applying existing labor, material, and travel hours from a pre-built template.
