Aspire provides the ability to report on fuel usage and cost using the new Fuel Costs Report.
To set up Aspire for fuel cost reporting, you must first have the Add Fuel Rate permission to have Fuel Rates available in the Equipment menu that allows you to define the average fuel cost (per gallon/liter) for a branch during a specified time period. These fuel rates are used by Aspire to calculate fuel costs based on fuel burned. Clicking the icon displays the Fuel Rates Search List screen.
Fuel Rates Search List Screen
The Fuel Rates Search List screen displays fuel rates for branches to which you have access. The time period during which a given fuel rate is effective starts on the effective date and goes until the next effective date specified for a fuel rate on the branch.
The following fields are available for display in this search list;
- Branch*
- Effective Date*
- Fuel Rate*
Clicking on New Fuel Rate or clicking on one of the existing fuel rates in the search list displays the Equipment Fuel Rate screen.
The screen elements on the Equipment Fuel Rate screen are described in the following table:
Screen Element | Description |
---|---|
Effective Date | Required. The date on which Aspire will start to apply the specified fuel rate. |
Fuel Rate | Required. Dollar amount specifying cost per gallon or per liter depending on the location of the branch. |
Branch | Required. Branch to which the fuel rate applies. The drop-down list is populated with branches to which you have access. |
Cancel | Returns to the prior screen without saving the fuel rate. |
Delete | Deletes the selected fuel rate. |
Save | When you click Save, Aspire verifies that a rate does not already exist for the same date and branch. If it does, Aspire displays an error message and prevents saving, and remains on the Equipment Fuel Rate screen. Otherwise, it creates the fuel rate and returns to the Fuel Rates Search List screen. |
Fuel Costs Report (Search List)
The Fuel Costs Report is a search list making an entry available for each meter reading taken on a piece of equipment showing the associated fuel cost since the prior meter reading. If you do not have the Fuel Cost Report permission, the Fuel Cost Report option will not be available.
