General Conditions Template Screen

The General Conditions Template screen lets you define the general condition templates that can be applied to work orders. You display the General Conditions Template screen from the General Conditions Template Search List screen by clicking one of the templates in the list or by clicking the Add General Condition Template icon.

The screen allows you to specify a list of catalog items representing standard costs that will be included in the estimates for which the template is selected. For each selected catalog item, fields enables you to specify how the standard cost will be calculated.

The screen elements on the General Conditions Template screen are described in the following table.

Screen ElementDescription
Template NameName given to the template by you. When creating new templates, as you type into this field, the value is duplicated into the Alternate Name field.
Alternate NameThis field value is only accessible from the search list. When creating a new template, when you type into the Template Name field, the value is duplicated into the Alternate Name field as they type.
ActiveAllows you to mark the general condition template as inactive so that they can eliminate it from availability when you select a template to apply to an estimate.
Assigned Branches

Required. Enables you to specify the branches for which the template should be available when you are selecting a template to apply to an estimate.

  1. If the logged-in user has System Admin permission; or has Branch Admin permission and is assigned branch access to all branches, then this field defaults to All Branches.
  2. If you have Branch Admin access, but only have access to some branches, the field will not have a default value, but you are required to select one.
  3. If you only have Branch Admin access (not System Admin access) and open an existing template, the screen will be editable only if you have branch access to all the branches assigned to the template.
Item List Section
Item NameItem name from the catalog
TypeRead-only. Displays the item catalog type for each selected catalog item.
FactorThe multiplier used to calculate the total cost of the line item after the general condition template has been added to an estimate for a work order. The value of this parameter will usually be set to one (1).
Units

Dropdown provides three options for specifying how the cost for the item will be applied to the estimate. Options are:

  1. Hours per Day – The item has a specific cost per day per number of units for the job. When added to an estimate, this item will impact the overall duration of the job. After the general condition template is added to an estimate, the extended cost is calculated by multiplying the unit cost by a number of days for the job, by Factor, and by a quantity (Amount field). Does not impact the overall duration of the job.
  2. Qty per Day – The item has a specific cost per qty per day for the job. After the general condition template is added to an estimate, the extended cost is calculated by multiplying the unit cost by a number of days for the job, by Factor, and by a quantity (Amount field). Does not impact the overall duration of the job.
  3. Fixed Amount – The item has a specific cost per quantity per job. After the general condition template is added to an estimate, the extended cost is calculated by multiplying the unit cost by a quantity (Amount field) and by Factor. Does not impact the overall duration of the job.
Unit CostCost per unit as described above under the description of the Units field.
Delete IconRemoves the item from the template. The Delete icon is disabled if the template has been used on an estimate.
Catalog Item Selection Drop-DownaAllows you to select another catalog item to be added to the template. The drop-down list makes available all items in the item catalog.

Delete Icon

Deletes the general conditions template. When you click this icon, Aspire displays a confirmation dialog.
Save Icon Saves changes to the general conditions template and returns to the General Conditions Template Search List screen.
