T&M Invoice Calculations

This section explains how Aspire calculates customer pricing for time and materials (T&M) opportunities during invoice generation, including adjustments based on item substitutions.
T&M Labor
For T&M work tickets, Aspire calculates labor costs directly from the T&M Labor Price set on the Service Details screen. If multiple T&M Labor prices are set using the Labor Rates icon, the labor price is determined when the office team selects a labor rate during time entry.
If employees with different labor rates work simultaneously on the same service across multiple visits, Aspire calculates minimum hours per labor rate, not per work ticket.
T&M Non-Labor
For T&M work tickets, Aspire calculates the price of non-labor items as follows:
- Override Pricing: If a price was overridden in the estimate, Aspire uses this override price.
- Catalog Pricing: If not overridden, Aspire calculates the price based on the catalog unit cost and the markup for T&M materials provided in the estimate.
- One-Time Item Pricing: For items without a catalog cost, Aspire calculates using actual receipt cost and T&M material markup.
If a substituted item replaces the original item, Aspire will use the substituted item's cost and markup to recalculate the price.
