In Aspire, a contact is a person or entity your businesses interacts with. There are four default Contact Types:
- Employee - Someone who works for your business. They may or may not also use the Aspire platform.
- Customer - A person or organization your business does work for.
- Vendor - A person or organization your business buys supplies from.
- Sub - Short for "subcontractor", this is a person or organization your business subcontracts with.
The Contacts screen
The Contacts screen shows a list of all the contacts that have been added to your Aspire instance. Like most other lists, you can use the usual filter, display, sort, and group actions and save your selections as saved searches.
Click the panel icon to view details and notes about a contact without leaving the list screen.
Click the three-dot menu to create a new Issue, Task, Email, or Appointment related to that contact.
Click the New Contact button to add a new contact.
Contacts Screen bulk actions
Check the box next to one or more contacts, and click the Bulk Actions menu to:
- Bulk Email Contacts - Compose an email to all selected contacts. Emails are sent individually, so recipients don't see other people’s email addresses.
- Send Customer Portal Invite - Compose an email invitation to all selected contacts, inviting them to use the Customer Portal.
- Change Contact Type - Change the contact's type. Big surprise, I know.
- Change Branch - Change which Branch the Contact is assigned to. Aspire Users assigned to a Branch can only see contacts assigned to their Branch.
- Change Owner - Change the Contact Owner. This field is mostly used for contacts that are businesses or organizations instead of people.
- Change Pay Schedule - Set an Employee or Sub type contact's Pay Schedule. Options depend on how your company is configured. Administrators can add Pay Schedules under Administration > Application > Lists > Pay Schedules.
- Change Status - Flip the contact's Active status toggle on or off.
- Add/Remove Tags - Tags are identifiers that help classify contacts for reporting purposes. Administrators can add Tags from Administration.
- Opt-In SMS Notifications - Opt Employee type contacts in to SMS notifications.
- Add Certification or Skill- Add a new Certification or Skill to an Employee or Sub type contact.
