A workflow is a process that can be set up to require approval of an estimate on a contract or work order before Aspire will allow the estimator to submit the proposal to the customer. For each workflow, they define system roles or users who can approve contracts or work orders greater than specific revenue values. Workflows allow multiple approval authority levels for different revenue values to be established on the workflow. Workflows may optionally have a branch and/or division specified. When a particular opportunity requires approval, Aspire will use the most specific workflow that matches the opportunity. Aspire will send a notification email to the approver and will add an alert to the Aspire toolbar of the approver (see image at right).
The Workflows Search List screen and the Workflow screen work together to allow you to define workflows. They can make workflows specific to divisions and/or branches. Within a workflow, they can define opportunity value levels called steps that require approval at progressively higher authority levels.
The Workflows Search List screen behaves like other search lists allowing you to display and filter information to provide the most value in various situations.
