Article summary

This article outlines the navigation tools available across the Aspire system, including the navigation bar, search functions, quick actions, and the resource center.

Aspire Navigation Bar

The Aspire navigation bar runs down the left side of the desktop interface. It provides access to key operational areas of the system, depending on the permissions assigned to your user role.

Main modules include:

  • Activities
  • Calendar
  • Contacts
  • Properties
  • Opportunities
  • Scheduling
  • Work Tickets
  • Reports
  • Invoicing
  • Purchasing
  • Equipment

The Settings icon appears at the bottom of the navigation bar and opens a menu with administrative options, user settings, and logout. The options shown here depend on your permissions and may include:

  • Administration (visible only to users with admin permissions)
  • User Settings
  • Report Issue
  • About Aspire (includes version info and a Test Ping button)
  • Log Out

Select outside the menu or navigate to another screen to close it.

The Quick Menu, available at the top of the navigation bar or from the toolbar, provides shortcuts to create new records. Depending on your permissions, options may include: Appointment,  Task, Issue, Email, Contact, Property, Purchase Receipt, Payment, Credit Memo, Miscellaneous Invoice, Process Electronic Payment.

The Search Aspire bar at the top of the interface lets you quickly locate records by entering a character prefix and search string.

Character-based search prefixes

Prefix characters narrow the search to specific entity types:

PrefixSearches
$Invoice batches and invoices
cContacts and companies
iIssues
o or jOpportunities (jobs)
pProperties and payments
rPurchase receipts
tWork tickets

General string search (no prefix)

If no prefix is used, Aspire attempts to match the string across multiple object types:

  • Property: Returns active properties by name (within accessible branches)

  • Contact: Matches first or last name (excludes API credentials)

  • Company: Requires "View Companies" permission; returns active company matches

  • Issue: Matches issue number, activity number, or subject line

  • Opportunity: Matches opportunity number or name

  • Invoice/Invoice batch: Requires "View Invoicing" permission

  • Receipt: Requires "Create Receipt" permission

  • Work Ticket: Returns non-canceled tickets by number

Recent activity

Aspire automatically tracks your most recently viewed records during each login session. This includes: Properties, Companies, Contacts, Invoice batches, Invoices, Payments, Receipts, Equipment, Opportunities, Work tickets, and Activities (issues, calendar items, etc.).

To view recent activity:

  • Click into the Search Aspire bar to see a short list

  • Click See all recent activity at the bottom of the list to view your full history

Aspire Resource Center

Click the Resource Center icon in the top right of the screen to access:

  • Announcements: Product news from Aspire

  • Alerts: Items that require user attention

  • Training: Tutorials and guided learning

  • Knowledge Base: Instructional help articles

  • User Guide: This full user manual

When there are alerts that need your attention, the Resource Center icon displays a red or orange badge.
