Purpose

The Items Search List screen allows you to manage your catalog of standard Items. A catalog Item is a specific labor, material, equipment, subcontractor, or other item required to estimate and perform a service. From this screen, you can manage Item characteristics such as purchase units, allocation units, and purchase price.

Like other search lists, you can filter and sort this screen to display the most relevant information. The Items Search List screen includes a selection columna for bulk actionsb and an action menu (...)c for individual Items.

Row actions menu

In addition to the Bulk Actions menu, each Item row includes an action menu (...). You can use this menu to view or manage an individual Item without leaving the list.

Note: You must activate Side Panels in your system settings to use the View Kits option. If side panels are not active, this option is not available.

The action menu includes the following options:

Go to item

Opens the Item Detail screen for the selected catalog Item.

View kits

Opens a side panel showing all Kits that include the selected Item. From the side panel, select an Item or Kit link to open its detail screen.

Edit

Opens the Bulk Edit screen, allowing you to edit Item details directly from the list.

Auto kit

Opens the Auto Kit screen, where you can automatically generate a new Kit for the selected Item.

Clone kit

Opens the New Kit screen prepopulated with information from the selected Kit. You can update the attributes and select Save.

Bulk actions menu

The Items Search List screen includes a checkbox column that allows you to select multiple Items. You can then perform actions on them using the Bulk Actions menu.

The following table summarizes the options on the Bulk Actions menu:

Description

Update Cost Based on Avg

Calculates the average amount you have paid for each selected Item over the last twelve months. This calculation updates the base cost for the Item. The Items Search List provides a field called Avg 12 Month Purchase Cost that allows you to display or filter this value to preview the impact before you select the option.

Auto Kit

Allows you to bulk-generate Kits as explained in Auto Kitting.

Clone Kit

Allows you to create a new Kit based on an existing Kit. Before you select this menu option, you must select exactly one Item in the search list, and the Item must be a Kit. The Kit Item screen will display, populated and set to create a new Kit based on the selected one. You can edit the attributes of the new Kit and select Save.

Bulk Edit

Allows you to simultaneously edit attributes of all Items that you have selected in the search list. When you select this option, Aspire displays the Bulk Edit screen for you to specify values for the selected Items. The following Item attributes can be edited in bulk:

  • Active: Determines if the Item is available for adding to Kits or for estimating. Options are Yes or No. This changes all selected Items as specified. If not selected, the active status is not changed.

  • Available to Bid: Information available under the explanation of kitting.

  • Inventory Item: Specifies whether the Item can be placed into inventory. This option is not available if any of the selected Items have already been placed into inventory. You must remove those Items from your selection before you can change this attribute.
