6.22.0 Overtime Threshold Notifications
What's new?
Aspire’s new Overtime Threshold Notification Template empowers managers to stay ahead of potential overtime issues by providing real-time alerts when employees approach their daily or weekly overtime limits. These thresholds, calculated using work ticket times, allow for better oversight of labor costs and workforce schedules.
Prerequisites
- You will need the Manage Notifications Settings permission enabled under your user role at the system and branch level to create a notification template.
- You will need the Edit All Contacts permission enabled under your user role to opt-in employee contacts in bulk from the contacts advanced search list.
- Employees designated to receive notifications must enable SMS Notifications before opting into email or SMS message notifications.
Creating an Overtime Threshold Notification Template
Follow these steps to set up the template:
- Navigate to the Administration menu.
- Select Notifications, then Manage Notifications.
- Select New and choose Add SMS Notification or Add Email Notification. Overtime threshold notifications support email and SMS notifications.
- Complete the required (*) fields. See the table below for a description of each screen element.
- Select Save to finalize the template.
Overtime Threshold Notification Template
The following is an overview of the Overtime Threshold template screen and its elements.
Overtime Threshold Notifications | |
---|---|
Active | Activate or deactivate the notification. |
Notification Name | Assign a name to help you classify and identify the notification internally. |
Branch | Assign the branch(es) that should be associated with the notification. |
Pay Schedule | Select a pay schedule to enable Overtime Threshold notifications. The notifications can be tied to multiple pay schedules. |
Recipient(s) | Designate which managers or employees will receive the absentee notification. You must select one or more of the following recipient types. Notifications can be sent to various stakeholders, including branch managers, route managers, and individual employees. |
Additional Recipient(s) | You can add a contact within your authorized branch(es) as an additional recipient. |
Overtime Threshold (Hours) | Use this field to set an hourly limit that triggers notifications when employees approach daily or weekly overtime thresholds. Set the threshold time in hours. Select Daily or Weekly to notify employees that they are approaching the threshold for overtime. |
Notification Type | Select Overtime Threshold. |
Trigger Type | Displays the specific condition that initiates the overtime alert, with options for Overtime Threshold Reached – Daily or Overtime Threshold Reached – Weekly. Notifications are triggered based on employee hours nearing daily or weekly overtime limits, with checks every 60 minutes to ensure timely alerts. |
Delivery Time | This field determines when your customers will receive the notification. Because this alert is time-sensitive, notifications are triggered immediately when the threshold is reached. As such, Immediately is the only available option. |
Message Body (SMS) Email Subject/Header/Body (Email) | You can manually type out the message you want recipients to see or click on the search icon to choose from tokens.
Formulate a message faster when creating a notification template using the placeholder text in the message body of all SMS message templates. If you change the Notification Type without modifying the default placeholder text, the placeholder will automatically update to match the new notification type. However, suppose you've edited the Notification Type and the placeholder text. In that case, your custom message will be preserved, and the message body will not adjust to the default text of the new Notification Type. |
Test | Unavailable for this notification type. |
Save | Save a new notification or an update to an existing notification. |
More Actions... | Select the More menu to copy the notification you have set up. By clicking Copy, you will clone the notification details so that you can use the information to build a new notification. |
