What's New?
Introducing Enterprise Admin - unify and standardize administrative functions across all companies under your enterprise using Aspire. As an admin for a large company managing multiple companies using the Aspire system, Enterprise Admin allows you to enforce some consistency with administrative standards across all your subsidiary companies.
With this powerful feature, as an admin of a primary company within an enterprise, you can take control of essential administrative functions for all the companies under your purview by locking functions and pushing updates for multiple systems related to your primary company with a few clicks.
Requirements
To make use of this feature, you need:
- A primary system with multiple subsidiary systems.
- The feature must be enabled for your enterprise by Aspire.
- If you use the same admin account to access both the primary and subsidiary Aspire systems, you must clear your cache after logging out of one system and before signing into another system so you can use the designated company for the primary and subsidiary companies.
Lock
With the Lock feature, you can prohibit admins in subsidiary systems from making or adding setting changes.
- Quickly identify locked functions with a padlock icon in the page header.
- You can lock down settings in the Account Syncing, GPS, and API tabs.
Account Sync
As an admin in the primary system, you can lock the Account Sync tab to disallow subsidiary companies from changing account sync settings.
To lock the accounting sync tab:
- Go to User Settings > Administration > Configuration > Accounting Sync.
- Click the Lock button in the top right corner of the page.
- The page will then have a green padlock icon stating locked next to indicate it has been locked.
API
Prohibit subsidiary systems from making changes to API records. In the primary system, the New and Delete buttons will be disabled, and the API records will appear grayed out.
To lock the API tab:
- Go to User Settings > Administration > Application > API.
- Click the Lock button in the top right corner of the page.
- The page will then have a green padlock icon stating locked next to indicate it has been locked.
Enable GPS Integration
When Enable Aspire GPS Integration is not checked, you can disallow admins within subsidiary systems from viewing or modifying GPS integrations. If this function is unlocked, you can configure settings that cannot be changed once locked. Once locked, all fields will be grayed out. Whether locked or unlocked, the Update Geofences button will remain unlocked.
As an admin account holder in the subsidiary system, you will not be able to change the following fields when Aspire GPS Integration is locked:
- Enable Aspire GPS Integration
- Provider
- Provider API Key
- Create Equipment Readings
All these fields will be grayed out, and the option to save will be disabled.
Lock and Push
As an admin within a primary system, the Lock and Push feature allows you to disallow admins in subsidiary systems from making changes to specific functions. It also pushes updated and newly added information from the primary system to all related subsidiary systems. You can use the lock and push feature with List, Application configuration, and Time Reporting configuration settings.
Lists
Lock and push the following Administration Lists: Activity Category, Catalog Item Category, Catalog Price List, Certification Type, Division, Employee Incident Type, Industry, Issue List, Lead Source, Opportunity Status, Pay Code, Pay Schedule, Payment Category, Payment Terms, Receipt Status, Sales Type, Service Type, Tax Entity, Tax Jurisdiction, and Work Ticket Status.
To lock and push lists:
- Go to User Settings > Administration > Lists.
- Click the Lock button on an applicable list to lock and push.
- The list will then have a green padlock icon next to it within the list dropdown and on the list page so you can quickly identify that it has been locked.
Locking and pushing lists results in the following:
- Disables the ability for admins within subsidiary systems to activate, deactivate, create, change, or delete list entries in a subsidiary system for lists locked by an admin in the primary system.
Configuration: Application and Time Reporting
In the Configuration section of the admin menu, you can manage the lock and push settings for specific portions of the application and time reporting menus, allowing you to control what applies to subsidiary systems.
Application
To control locked and pushed application settings:
- Go to User Settings > Administration > Configuration > Application > Manage Access.
- Click an option(s) you want to lock and push.
- Click Save.
Configurations changed before locking Fiscal Start, Revenue Reporting, Disable Automatic Ticket Approval, Require Unique Vendor Invoice #, Enhance Branch Admin Security, and Disable Deletion of Work Tickets in the primary system will be pushed to all related subsidiary systems once locked. The subsidiary systems can still modify any unlocked field.
Time Reporting
Prevent subsidiary systems from changing fields selected by an admin in the primary system. Locked fields in the time reporting subsection of the administration menu will appear grayed out in the subsidiary system.
To control locked and pushed time reporting settings:
- Go to User Settings > Administration > Configuration > Time Reporting > Manage Access.
- Click an option you want to lock and push.
- Click Save.
You can lock and push the First Day of Week and Payroll Export Format options.
The subsidiary systems can still modify any unlocked field.
Keep in Mind
- Primary systems are distinguished by a dark red navigation bar, while subsidiary systems have a dark blue navigation bar.
- You will receive email notifications once locked or locked and pushed actions in the parent system are completed.
- Unlocked sections at the primary level can be manipulated at the subsidiary level.
- When locked, a function cannot be changed from the primary or subsidiary system unless it is unlocked by an admin in the primary system first.
