Set Up for the Routes Method of Snow Management

When the company uses the Routes Method for snow management, the crew leader’s mobile device will show properties on the Schedule screen instead of scheduled work tickets. The Crew Mobile App will allow the crew leader to select a property and choose one of the As Needed services or contracted single services for the property to which time should be allocated.
The following steps, which are described more completely in the sections that follow, summarize proper preparation for snow season if the company plans to use the Routes Method.
- Set up generic snow managers/schedule boards
- Establish routes explicitly for snow
- Routes must be in Snow division for the properties to show up in Snow mode.
- Add properties to routes
- Add services to routes
- Establish snow contracts.
- At beginning of the snow season, enable Snow Mode allowing crew members to choose to enter the Crew Mobile App in Snow Mode.
Setting up Generic Snow Managers / Schedule Boards
The Scheduling Board screen allows schedulers to choose from a list of managers whose routes should be displayed together. It is recommended that separate sets of routes be established for the snow season.
The names represented by the schedule managers are established by creating employee contacts and assigning them as managers on routes. You can set up generic managers to define snow-specific schedule boards such as Snow Manager North depicted below to define an alternate schedule board. During the regular season, the schedule manager named Privon Tester can use his entry in the manager list for managing his routes. Then during the winter months, Privon might instead use the set of routes represented by Snow Manager North.
When setting up the contact for Snow Manager North, you can set the first name of the contact to “Snow” and the last name to “Manager North.” It will be necessary to establish an email address within the email system for the generic Snow Manager North account that is different Privon Tester’s email account but redirects email to Privon’s email inbox. This type of email address can be set up by the IT system manager.
Establishing Routes for Routes Method
When using the Routes Method for snow event management, it is essential to properly set up routes on the Route screen. The following guidelines should be followed when setting up these routes:
Routes must be placed in the Snow division in the Route section for the properties to show up in the Crew Mobile App when it is in snow mode.
In the Property section, add properties to the route and specify the display ordera which determines the order that the properties will appear in the Crew Mobile App on the crew leader’s mobile device
In the Services section, add services to the route to specify which services the crew is equipped to provide. This list of services determines which services are available for selection in the Crew Mobile App on the mobile device for the crew leader of that route. For example, for a plow truck route, plowing tabb might be included and snow shoveling services excluded. You can also add any internal servicesa to which the crew may be required to allocate time.
Establish Snow Contracts
When the company uses the Routes Method, snow management contracts will commonly be set up with services in the estimate having invoice type of Per Service or Time and Materials and which are flagged As Needed (Range Billing Per Occurrence Contracts, Simple Per Occurrence Snow Contracts or T&M Billing Contracts). Since snowfall is unpredictable, this approach allows you to generate the required work tickets to complete work as events occur throughout the season.
Alternatively, when using the Routes Method, you can establish Seasonal Snow Contracts for which there is one work ticket for each service in the estimate to which all time and materials are allocated for visits throughout the season.
