T&M Invoice Calculations

Article summary

This section explains how Aspire performs customer price calculations for time and material opportunities when generating invoices.

T&M Labor

For time and materials work tickets, Aspire calculates the cost of non-labor items on the customer invoice by directly using the T&M Labor Price established on the Service Details screen

If multiple T&M Labor prices were established by clicking the Labor Rates icon on the Service Details screen, then the labor price is determined when office personnel selects the appropriate labor rate during time entry.

Note that if two employees have different labor rates and clock their time simultaneously on the same service for work tickets that contain more than one visit, the amount calculated for the minimum hours worked is per labor rate instead of per work ticket.
T&M Non-Labor

For time and materials work tickets, Aspire calculates the cost of non-labor items on the customer invoice as follows:

  1. If the price was overridden in the estimate, Aspire simply uses the override price.
  2. If the price was not overridden in the estimate, Aspire uses the catalog unit cost times the material markup for T&M materials provided in the estimate.
  3. If no catalog unit cost is present (one-time items), Aspire uses actual receipt cost times the material markup for T&M materials provided in the estimate.
