Aspire provides a Customer Portal that allows customers web access to their proposals, invoices, and issues. Aspire has given companies the ability to brand the customer portal using their company logo and choice of a color scheme. The URL that customers use to access the customer portal is specific to each field service company. Before customers can gain access to the Customer Portal, the system administrator must enable it and send the customer an email invitation.

Setting up the Customer Portal

The Customer Portal is enabled and configured from the Customer Portal tab of the Application Configuration screen in Aspire.

Inviting Customers to the Portal

Aspire users can invite customers to sign up for the Customer Portal. Users can initiate the emailing of these invitations from the Contacts Search List screen by selecting the Send Customer Portal Invite option in the Bulk Actions menu. Only users who have the Send Customer Portal Invitation permission will have this menu option available and if the Enable Customer Portal option is checked. Emails will be sent from the user who is sending the invite from Aspire. When the user selects the Send Customer Portal Invitation option, Aspire displays the Bulk Email Customer Portal Invitation screen.

The screen elements on the Bulk Email Client Portal Invitation screen are described in the following table.

Screen ElementDescription
ToThe multi-select field initially displaying the users who were selected for creating invitations. The user can add contacts to or remove contacts from the list. Even though these users are all listed in the same field, individual custom emails will be sent to each contact with tokens properly expanded.
Subject

Defaults to the subject specified on the Customer Portal tab of the Application Configuration screen. Allows the user to override the default subject for portal email invitations. The field allows the insertion of expandable tokens that fill in with customer-specific information when the invitation email is sent to the customer. Available tokens:

Contact Name – First and last name to whom the invitation email is being sent.

Insert Email TokenDisplays the Tokens screen allowing the user to select a token to insert into the Email Subject field at the location of the cursor.
Body

Defaults to the body specified on the Customer Portal tab of the Application Configuration screen. Allows the user to override the default body for portal email invitations. The field allows the insertion of expandable tokens that fill in with customer-specific information when the invitation email is sent to the customer. Available tokens:

  • Contact Name – First and last name to whom the invitation email is being sent.
  • Customer Portal Link – Inserts a hyperlink into the customer portal invitation email that takes the customer to the sign-up screen for the Customer Portal.
CancelReturns to the Contacts Search List screen without sending customer portal invitation emails.
Send Sends portal invitation emails to all contacts listed in the To field and returns to the Contacts Search List screen.

How Customers Use the Customer Portal

The basic steps for customers to access the portal are:

  1. Receive a portal invitation email
  2. Click the link to be directed to the URL for the Company
  3. Specify and confirm their password
  4. Navigate to the portal and log in

The following sections provide additional information on how customers use the Customer Portal.

Signing Up and Logging In

Customer Portal Invitation Email

The invitation email is sent to the customer as described above. A sample email is shown below. Clicking on the hyperlink in the email body will take the user to the Customer Portal Sign Up screen.

When the customer clicks on the link in the Customer Portal Invitation email, Aspire displays the Customer Portal Sign-up screen.

The user must set their password by entering the same password twice. Rules for valid passwords are displayed on the screen. Once the user successfully specifies and confirms a valid password and clicks Sign Up, Aspire displays the Sign-up Confirmation screen. Clicking the Login hyperlink takes the user to the Customer Portal Login screen.

If the user clicks on the hyperlink in their invitation email after they have already signed up, Aspire displays the following screen:

When the user clicks on the Login hyperlink on the Sign-up Confirmation screen or navigates to the customer portal URL (i.e. <PortalDomain>.PropertyServicePortal.com) in their browser, Aspire displays the Customer Portal Login screen. The customer enters their email address and their established password to log in.
