Recurring Schedule Enhancements
What's New?
The recurring schedule updates are of significant benefit to janitorial clients. With these enhancements, managing recurring schedules, especially those involving the coordination of multiple time-based routes needing to recur on specific weekdays, will be substantially easier and quicker.
Key Improvements
- Job Service Schedule screen: Enjoy an intuitive redesign to help you seamlessly set the recurring schedule right for your crew.
- Day of the Week: Experience more scheduling flexibility by adding varying visit times to occur on different weekly days under a work ticket using the new Day of the Week recurring schedule type.
- Renewed Contract Enhancements: Carry over established start and end times from an original contract to a renewed one to eliminate the need to reschedule work tickets with time-based visits.
💭 Job Service Schedule Screen Overview
Familiarize yourself with the updated job service schedule screen using this overview.
- Property Name
- Work Ticket Name
- Contract Start and End Date
- Job Service Schedule section
- Visits - this section was previously on the Add Job Service Visit screen and is now incorporated into the main screen of each recurring scheduling type.
- View Schedule - this option was only available after saving the recurring schedule on the Save Schedule and Reschedule/Generate Visits dialog item. It is now part of the main screen, eliminating the need to save before configuring visit details.
- Save - requires adding at least one visit and filling all mandatory fields. Saving a blank recurring schedule is no longer an option.
Keep in mind
- To prevent unintentional closure of the recurring schedule, you must select Cancel or Save to close the dialog screen.
- Changing route types will nullify accompanying fields (sequence, start, and end time).
💭 Day of the Week Recurrence Scheduling Type
You can create daily recurring visits containing up to seven schedules with different route assignments and start times using the new Day of Week option within the Recurring Schedule dropdown. This option is ideal for janitorial clients because you can coordinate multiple schedules with crews working on different routes during various time spans to be scheduled daily.
Keep in mind
- When you select a day, it will be shaded in green and removed from other schedules.
- Using Add Schedule, you can add multiple schedules to a Job Service Schedule.
- Once a day is selected for one schedule, it will be removed from other schedules. Once all days are selected, you will no longer see the option to add another schedule unless you remove days from an existing schedule.
- Notice that you can specify the Month of Year and the Week of Month for the new Day of Week recurring schedule option just as you can with the Days Between option.
- You can create up to seven unique schedules based on the day of the week at a maximum.
- If you try to change the scheduling type, you will see a confirmation message letting you know that doing so will remove the Day of the Week Scheduling you could have configured.
💭 Recurring Schedule Calendar
In addition to the contract year and the Occurences Remaining sections of the recurring schedule calendar, the recurring schedule calendar screen now displays the following helpful details you can gather with a glance:
- Property name
- The name of the work ticket
- An informative tooltip
💭 Work Tickets: Recurring Schedule
Upon displaying the recurring schedule on the work tickets advanced search screen, you will see a three-dot menu with options to View the Recurring Calendar or Edit Recurring Schedule.
- The option to view a recurring schedule calendar will only be available if one is already set up on the Work Tickets advanced search list screen.
- When saving changes to the View Recurring Calendar, you must confirm and see a message within the confirmation dialog informing you that the changes will overwrite information on the Job Service Schedule and Visits and update information on the Work Tickets. Once confirmed, you will be directed back to the schedule board.
- The View Recurring Calendar option is now separate from the Edit Recurring Schedule within the three-dot menu. Making it easier to spot the next visit without unintentionally changing the recurring schedule.
Contract Renewal: Recurring Schedule for Time-Based Routes
When a renewed contract contains a recurring schedule with time-based visits, the scheduled start and end times within the original contract will carry over to the renewed contract along with the assigned route if you choose to auto-schedule visits for the recurring schedule when prompted.
Once you have won a renewed contract with multiple visits on the recurring schedule(individually or in bulk), it can take some time, depending on the amount of schedules needed. So, you will see a message informing you that schedules and visits are generated in the background. When you bulk win opportunities, you will receive a message confirming that the opportunities have been won, and the work tickets and visits will be generated momentarily.
Schedule Board Updates
To improve time-based route scheduling, the following schedule board enhancements have been made:
- Unavailable days for time-based routes will appear in the same shaded pattern on the schedule board as for sequenced-based routes.
- The new Add to Schedule feature makes adding route time availability for time-based routes easier. Instead of adding availability individually for each day, you can now select Add to Schedule at the bottom of the Scheduling section on the Route detail screen. You will then see a dialog allowing you to quickly choose the days you want to designate a specific availability time, making copying a schedule from one day to another more straightforward.
- When adjusting the Hours/Day in the Confirm Visit Details dialog, the end date and time will automatically update to coincide with this change.
