The Profit and Loss KPI depicted below provides managers with a comparison of earned or invoiced revenue during the specified period, along with the cost of labor (the largest cost component) and total gross profit. Each of these is compared with their respective budget value.

Note:
The chart represents earned or invoiced revenue depending on the Revenue Type setting on the KPI screen – Profit and Loss view.

The Profit and Loss view of the above KPI screen allows you to define the information represented on the completed Profit and Loss KPI Chart below.

The Profit and Loss KPI Chart shows three pairs of bars representing:

  1. Actual Revenue
    1. Invoiced – This shows revenue invoiced during the specified period based on the invoiced date next to the invoiced revenue amount budgeted for the same period.
    2. Earned – Shows revenue earned on work tickets during the specified period next to earned revenue amount budgeted for the same period, including work in progress for work tickets not yet completed.
  2. Actual Labor – This shows the total burdened labor cost incurred on work tickets during the specified period next to the amount budgeted for the same period.
  3. Gross Margin $ – Shows gross profit calculated as actual revenue minus direct costs during the specified period next to the amount budgeted for the same period. Direct costs include labor costs (as calculated above) plus costs for items allocated to those work tickets during the specified period.

The work tickets for which revenue, labor, and gross profit are displayed are further refined by the selections made on the Profit and Loss view of the KPI screen, as described in the table below.

Screen ElementDescription
KPI or Insight TypeWhen creating a new KPI and Insight element for display, this field allows you to choose one of the six KPI types and determines which view is used for accepting KPI parameters. When editing an existing KPI element, this field is read-only.
KPI or Insight NameAllows you to specify the name of the KPI and Insight element displayed in the Home page's KPI section.
Start Date and End DateThese two fields allow you to specify a period to show the revenue, labor cost, and gross margin. The period is specified by a start month and an inclusive end month.
BranchAllows you to specify the branch(es) determining which work tickets will be included in creating the revenue, labor cost, and gross margin bars. If no branch is selected, work tickets for all branches will be considered.
DivisionAllows you to specify the division(s) determining which work tickets will be included in generating the revenue, labor cost, and gross margin bars. If no division is selected, opportunities for all divisions will be considered.
Account ManagerAllows you to specify account manager(s) determining which work tickets will be included in generating the revenue, labor cost, and gross margin bars. If no division is selected, opportunities for all divisions will be considered.
Revenue TypeOptions are Earned or Invoiced. Determines how Revenue and Gross Profit will be calculated when creating the graph.
