There is a section at the bottom of the Properties screen that displays the list of contacts associated with the property. This section allows you to view, email, add, and edit contacts associated with the property.

The following table describes the various elements available on this screen.

Screen ElementDescription
Name ColumnLists the name of the contacts that have been associated with the property.
Email ColumnProvides an icon that, when clicked, initiates the creation of an email addressed to the contact.
Primary ColumnDisplays a checkbox indicating for each contact, whether they are the primary contact. Aspire will allow only one primary contact for each property. You can click to change the value of this checkbox by selecting Edit Contact from the More pull-down.
Billing ColumnDisplays a checkbox indicating for each contact, whether they are the billing contact. Aspire will allow only one billing contact for each property. Users who have  Edit Billing permission can click to change the value of this checkbox by selecting Edit Contact from the More drop-down.

Only one of the contacts listed for any given property can have the Billing checkbox checked.  If a new billing contact is selected, the Billing flag for the prior billing contact is cleared.

When the billing contact changes, Aspire prompts you to allow them to update the billing contact on all opportunities for the property and all open invoices for the property. The confirmation dialog is shown here:

If you choose to update the billing contact for open invoices, then such open invoices that have been sent to the customer will have a special flag set indicating that the billing contact was changed after the invoice was sent. This flag is available in the following locations:

  1. It is available in the Invoices Search List as a field called Billing Contact Updated.
  2. It can be viewed on the Invoice screen as a checkbox labeled Billing Contact Updated After Email Sent
Email Invoice Column
Displays a checkbox indicating for each contact, whether they are one of the contacts who will receive invoices by email. Aspire will allow multiple contacts to receive invoices for each property. You can click to change the value of this checkbox only after having clicked Edit.
New Property Contact 
Clicking this allows you to add a New Property Contact or an Existing Contact to be associated with the current property. The dialog box allows you to select the contact and checkboxes indicating if they are the primary contact, the billing contact, or one of the email invoice contacts. Note that if you set as the primary or billing contact, any other contacts who were previously primary or billing contacts are removed from that function.
Compose EmailClicking this brings up the New Email screen allowing you to send an email to the Contact.
Edit ContactClicking this, places the selected row into an edit mode allowing the u to update the checkboxes for the contact. When you click the option, the Edit Property Contact screen is displayed.
The Contact Email field is only displayed when the Email Invoice checkbox is checked. Displaying this field allows you to verify that a valid email address has been provided for contacts to whom invoices will be sent.  If no email is specified, the Contact Email field allows you to efficiently provide one.
Delete ContactDisassociates the contact from the property after which the contact will still exist, but will no longer appear in the contact list for the property.
