Managing Equipment

Article summary

Once equipment models operated by the company have been properly defined, you can set up and manage equipment assets. Equipment management features introduced in Aspire V4.0 are accessed by selecting the Equipmenticon available on the Aspire Navigation Bar provided you have the View Equipment permission enabled under your user role. Note that some options from the Equipment page require additional permissions as described for those options below.

Status

Over the life of the equipment, they will proceed through a series of statuses. The status can be viewed by adding the Status column to the Equipment Search List screen.

Requested 

  • When an equipment entry is initially created, it is placed in the Requested status. It will remain in the requested status until approved using the Approve option in the Actions menu on the Equipment screen
  • You must have the Request Equipment Permission enabled under your user role to add a new equipment item.

Approved 

  • Once a piece of equipment has been approved, it advances to the Approved status provided that a Purchased Date has not been specified on the Info tab of the Equipment screen. 
  • The equipment item must have a Request status before it can be approved. 
  • You must have the Approve Equipment Permission enabled to approve an equipment item.

Purchased 

  • Once a piece of equipment has been approved and the Purchased Date has been specified on the Info tab of the Equipment screen, the equipment will advance to the Purchased status. 
  • You must have the Purchase Equipment Permission enabled to mark the status of the equipment item as purchased. 

In Service 

  • Once a piece of equipment has been approved and the In-Service Date has been specified on the Info tab of the Equipment screen, the equipment will advance to the In-Service status.
  • The equipment will remain in this status for its useful life until it is disposed of. 
  • You must have the Mark Equipment in Service permission enabled to mark an equipment item status as In Service
  • Once the equipment is in service, the main equipment information becomes read-only for all users except those whose role allows the Equipment Admin permission.

Out of Service 

  • Marking a piece of equipment with an Out of Service status will prevent that piece of equipment from being available throughout the Aspire system. 
  • You must have the Mark Equipment Out of Service permission to manually mark an equipment asset as out of service. 
  • A piece of equipment that is marked as Out of Service will not be available in the following areas of Crew Mobile and Aspire: Equipment, Equipment Inspection, Equipment Meter Reading screen, or the Request Equipment Service section of Crew Mobile. 
  • You cannot mark equipment out of service from the New Equipment screen. The Audit Info tooltip will retain the most recent Out of Service date, and the user assigned the status. Equipment Inspections containing an inspection category score of a Critical status will automatically be marked as Out of Service

Disposed  

  • When the Disposal Date has been specified on the Info tab of the Equipment screen, the equipment will advance to the Disposed status.

While the equipment is in service, you can update its tracking information, add meter reading entries to the reading log, view and schedule shared equipment assets against already-scheduled visits, visualize where equipment will be and when, and add service event entries to the service log.

The following table summarizes the menu options available from the Equipment icon.

SchedulingDisplays the Equipment Scheduling Board, which enables you to view and manage shared equipment assets against already-scheduled visits and visualize where equipment will be and when.
Service LogsDisplays the Equipment Service Logs Search List screen allowing you to selectively display information about any selected service log entries and drill into any service logs for additional information.
Reading LogsDisplays the Equipment Readings Log screen, allowing you to filter and view equipment readings taken from the meters of equipment in the field.
Scheduling LogsDisplays the Scheduling Logs Search List screen, providing a detailed view of equipment scheduling activities. The grid helps you efficiently track and manage scheduled visits and associated work tickets for scheduled equipment.
Services DueDisplays the Equipment Services Due Search List screen, allowing you to easily see when maintenance is due on identified equipment.
Fuel RatesAllows you to define the average fuel cost for a branch during a specified time. This option is only available if you have the Add Fuel Rate permission.
Fuel Cost ReportDisplays the Fuel Costs Report making available an entry for each meter reading taken on a piece of equipment showing the associated fuel cost since the prior meter reading. This option is only available if you have the Fuel Cost Report permission.
Depreciation ReportDisplays the Depreciation Report, which provides information regarding equipment depreciation during a specified time.
