Navigating, Creating, and Completing Tasks

The Task screen allows you to create, view, or edit tasks in Aspire.  A task represents an action that someone in the organization needs to complete.

The Task screen is available from the following locations:

  • From the Aspire Toolbar, select the New Task option from the Add icon.

  • From the Work Ticket screen, select New Task in the Work Ticket Activities section.

  • From the Activity Search List screen select the New Task option or by clicking an existing task in the search list.

Description

Assigned To

This multi-select field allows you to choose one or more contacts associated with the task. Assigned employee contacts are typically responsible for completing the task, while assigned customer contacts are stakeholders. Assigning a task to a contact makes it available in Activities on that contact’s record. You can also use this assignment to filter the Activities module by the Assigned To Contact field.

Regarding

This drop-down menu allows you to associate a property, opportunity, or work ticket with the task. When you associate a record, the task also appears in More Activities on the related Property, Opportunity, or Work Ticket screen. After you select a value, Aspire displays an icon indicating the associated record type. You can select the icon to open the related record. A pushpin icon may also display, which you can select to view the property location on a map.

Priority

This menu allows you to set the task priority. Available options are High, Normal, and Low.

Subject

Allows you to enter a subject for the task. You can enter any text. Aspire also allows you to insert expandable tokens that are replaced with appropriate values when you save the task. Available tokens vary depending on whether you selected a property, opportunity, or work ticket in the Regarding field. Tokens are available only when a value is selected.

Due Date

Allows you to set the task due date. You can enter a date directly or select the Date icon to choose one. When you change the Start Date of a new or existing task, Aspire automatically updates the due date to the following day. If you change the start date to a later date than originally selected, the due date remains unchanged.

Category

This menu allows you to assign an activity category to the task. Activity categories are list-based values used to classify tasks and support filtering, reporting, and internal organization. Categories are defined by name and activity type (such as Task) and are configured in your Aspire account. Notes

A rich-text field that allows you to add a formatted description or track progress for the task. You can also insert expandable tokens that are replaced with appropriate values when you save the task. Available tokens depend on the record selected in the Regarding field and are available only when a value is provided.

Attachments

This section allows you to upload and manage files related to the task, such as documents, images, or other supporting materials. Uploaded attachments are saved with the task and are available to users who have access to it.

Create a Copy

Creates a copy of the task from the New Task modal so you can reuse it as a template instead of creating a new task from scratch.

Cancel

Closes the New Task screen without saving changes.

Complete

Marks the task as complete.

Save

Saves changes to the task.
