Using the Appointment Screen

The Appointment screen can be displayed from the following locations:

  • From the Calendar screen by double-clicking an existing appointment or by double-clicking a blank place on the calendar.

  • From the Aspire Navigation Bar by selecting the New Appointment option in the Quick Menu.

  • From the Activity Search List screen by selecting the New Appointment option from the Add icon or clicking an existing appointment in the search list.

  • From the Work Ticket screen by selecting New Appointment from  in the Work Ticket Activities section.

Creating a new Appointment

  1. First, check the Private Appointment box to hide the appointment's details from other users who aren't attendees.

  2. Search for and click on the names of any Attendees who will be present for the appointment. You are an attendee by default, and you can click the X next to your name if you're making the appointment for someone else. If you select another employee, the appointment appears on their Calendar, in their Activities module, and on their Contact record.

  3. Click the Regarding field, click the Property, Opportunity, or Work Ticket tabs, then select or search for what the appointment is about. 

    1. Selecting a Property automatically sets the Location to the Property's address.

    2. You can search for and select multiple Regarding types. For example, you might choose a Property and a Work Ticket if you're meeting to discuss a specific incident.

    3. You can select Work Tickets up to 12 months old.

  4. Use the Start Date selector to type or choose when the appointment starts.

  5. Use the End Date selector to type or choose when the appointment ends.

  6. Type in the Location where the appointment will happen. If you selected a Property, this field fills in automatically.

  7. Now enter a brief Subject for the appointment. This is the title that appears in the Calendar. Click the magnifying glass icon to add a token to the subject line.

  8. Finally, add a Note to the appointment. Use the text formatting options to style the note, add attachments, add tokens, and more.

    1. The Tokens you can choose from change depending on what types of Regarding selections you made.

  9. When you're done entering the appointment's information, click Save

The new appointment appears on your Calendar and the Calendars of any employee contacts you included in the Attendees field. All attendees receive an email notification with the appointment details.
