Optional services are services not specifically requested by the client, added for informational purposes when estimating an opportunity. Optional services are not included in the estimated customer price. They are shown on proposals that the sales rep or account manager provides to the customer to present additional work that the company can provide them if they so choose.

Optional Services for Contracts

If a customer wishes to move forward with an optional service listed on a contract, the sales rep can create the work order manually in the same manner as any other work order.

The Optional Service Opportunity screen available on the Administration screen provides the ability to simultaneously mass-create work orders for a given service for each property that has an active contract with that optional service listed. If the company is promoting a particular service to a large number of clients, this option will allow you to rapidly build work orders that the sales team can manage through the sales process until each opportunity is either won or lost.

Optional Services for Work Orders

Optional services that appear on work orders are made available to the customer in the Customer Portal. When signing the proposal from the Customer Portal, the customer may choose to select optional services to include in the work order when signing it.

The customer can choose which optional services they want to be included in the job, by placing a checkmark in front of each desired service and leaving blank the services they do not wish to include. Once all desired services have been selected, the customer can click the Sign button to display the blank Signature screen which allows the customer to sign and submit their signature. When the customer submits their signature, an email is sent to the opportunity’s sales rep notifying them that the proposal is signed.

Once you have signed the proposal in the Customer Portal when you are on Aspire Desktop thereafter displays the proposal, the Signature icon is available, and if you hover over it, the signature is displayed as shown below. The proposal remains in the Delivered status (delivered to the client for signature) until it is won.
