Select Attachment Screen

Article summary

The Select Attachment screen enables you to choose the attachments you want to include in the emails you create from an attachment search list. You can also create and save Attachment search lists. An attachment can be related to Properties, Opportunities, Work Tickets, Issues, and other emails. Open the Select Attachment screen by clicking on the magnifying glass icon in the Attachments section on the details screen. You will then see a list of attachments that you can search and select from.

View and Manage Attachments 
Selecta
  • Use the checkbox to the left of an attachment to select the attachment(s). 
    • To select one or more attachments simultaneously, select the attachments and navigate to the Bulk Actions menu in the top right corner of the search list menu. 
Field Typeb
  • The field type lists a category by which attachments are grouped, sorted, filtered, and displayed. 
Searchc
  • Use this search bar for your quick keyword searches. The search results that populate will only contain an approximate match based on the string of characters that you enter in the search bar. 
Advanced Search Toolsd
  • Use the advanced search tools to quickly initiate and refine searches by leveraging the option to group, filter, sort, and display search results in a manner that best suits your needs. 
    • Change the order in which fields are displayed by dragging and dropping the field name within your search list. 
    • Change the sorting of a field by clicking on the name of the field.
  • Save the advanced search lists that you configure by going to the three dots menu and selecting Save As after creating your list. 
  • Find your saved search lists in the dropdown menu to the right of your advanced search tools. 
    • The search lists you configure and save in one module will not apply in a different module. 


Bulk Actions Menue
  • The Bulk Actions menu enables you to make the exact change to one or more attachments simultaneously. 
  • Currently, Attach Selected is the available bulk action. This action enables you to attach multiple attachments at once. 
More Actions Menuf
  • Save As -  Use Save As to save a search list that you have configured so that you are not tasked with attempting to recall exactly which advanced search tools you used to derive specific search results.  Click here for more information about the Advanced Search Save As screen. 
  • My Default -  Use My Default, to designate a default search list. The default search list will automatically populate in the Select Attachment screen. 
  • Reset Advanced Search - Use this option to reset your search results back to the system default search list. Your system default list will be pre-filtered to display results that are most relevant based on the record type that attachments are being selected for. 
  • Show All Attachments - Use Show All Attachements to reveal all attachments instead of just pre-filtered attachments. 
 Search List Entries 
  • Within the attachment search lists, are existing attachments in Aspire that you can attach to communications you send to your customers such as emails.  
    • Use this list to select files to attach to the communications such as emails to your customer.

Select Attachments Fields

You can group, filter display, and group your attachments using the fields in the below-listed table. 

Name of Field

Description 

Attachment NameThe file name of the saved attachment. 
Opportunity Name Name of the Opportunity in Aspire associated with the attachment. 
Attachment Type The file format of the attachment. The most common attachment types are documents and images. Click here for more information about the Attachment Type
Regarding
  • Defines the module in Aspire associated with the attachment. You can quickly identify which attachment is associated with a Property, Work Ticket, or Opportunity. By default, the regarding field will be pre-filtered to display attachments from most to least relevant.
    • e.g. If you are attaching an item to a Work Ticket, then the first attachment listed would directly relate to that specific Work Ticket. In contrast, the last attachment listed may be an attachment associated with a task related to the Work Ticket


Regarding Name Lists the specific name of the Regarding record associated with the attachment. 
Property Name 
  • Lists the name of the Property associated with the attachment. 
    • You can select either a Property or an Opportunity name to filter attachments. 
Show CrewSelect or deselect Show Crew to show or hide an attachment for the crew leader within the Crew Mobile app. 
Attach To Invoice Select or deselect the checkbox in the Attach To Invoice box to include or exclude the attachment in the invoice communication that you send to your customers.
