Manage Attachments Screen

Article Summary

The Manage Attachments screen displays the list of documents that are currently attached to an email. This screen is displayed by clicking the Attachments hyperlink from the Email screen or the Contacts, Properties, Opportunities, Work Tickets, Purchasing, or Equipment modules.  

Refer to the table below to see your managing and viewing options on the Manage Attachment screen. 

View and Manage Attachments
SearchaUse this search bar for your quick keyword searches. The results from your search will only contain an approximate match based on the string of characters you enter in the search bar.
Selectc
  • To act on all listed attachments, click the first checkbox at the top of the list to the left of the filter categories. 
  • Using the Bulk Actions menu, you can change one or more attachments simultaneously. Before selecting a Bulk Action, you must choose attachments by clicking the checkboxes on each attachment's left. 
  • Expand or collapse the list of documents by clicking on the downward arrow next to the Document heading. 
Filter, Sort, and Displayb

  • You can filter and display information by field by clicking on the funnel icon or by clicking on the gray bar to the left of the icon. This will populate a box that includes 
  • Sort the individual fields in descending or ascending order by clicking directly on the field.
Bulk Actions Menud

 
  • The Bulk Actions menu enables you to make the exact change to one or more attachments simultaneously.
    • Delete Selected - permanently removes selected attachments. You will have the opportunity to Cancel the action if you mistakenly click on this option.
    • Download Selected - download attachments to your desktop or mobile device. 
    • Expose to Crew - You can click Expose to Crew to make attachments associated with Opportunities available to crew leaders in the Crew Mobile app. You will not see this option listed in the Bulk Actions menu unless it is available within the module.
    • Attach to Invoice - Click Attach to Invoice to include attachments in the invoice you send to your customer. You will not see this option listed in the Bulk Actions menu unless it is available within the module.
More Actions Menue

  • Click on the kebab menu to reveal more options.
    • Preview to view a preview of image attachments. Currently, document previews are not available. 
      • Once you navigate to the Preview landing, you can click the left or right arrow to preview attachments from the point before or after the image or document that you selected to preview. 
        • You will also see a preview bar at the bottom of the landing page to quickly browse through attachment previews.  You can close the Preview screen by clicking the X in the upper right corner.

                         

           
Save or Cancel


  • You will be prompted to save any unsaved changes. Your option to Cancel or Save changes is at the bottom of the manage attachments modal.

Manage Attachment Fields

You can filter, sort, and display your attachment search lists using the below-listed fields. To manage an attachment field, you must click on the gray box or filter icon right below the filter's name. A search and checkbox prompt will then appear so that you can configure your search. Click directly on the field's name to sort the order of your search. 

Name of Field 

Description 

Attachment TypeThe file format of the attachment. The most common attachment types are documents and images. Click here for more information about Attachment Type
Name The file name of the saved attachment. When you use the name filter, you will only see search results containing characters you type. 
Upload Date The upload date marks the date that the attachment was uploaded to Aspire. 
Show Crew Select or deselect the checkbox in the Show Crew column to make attachments visible or invisible to crew leaders in the Crew Mobile app. 
Attach To Invoice Select or deselect the checkbox in the Attach To Invoice box to include or exclude the attachment in the invoice communication that you send to your customers.
