Using the FleetSharp GPS Integration

Once tracking devices have been installed and configured in company equipment and vehicles, the information returned by those devices can be utilized within Aspire.   

This information can be utilized in the following ways:

  • Automatic Vehicle Meter Reading – Each night, Aspire can be set up to automatically update meter readings on the vehicles. 
  • Vehicle Map Location – The Schedule Board provides an Equipment Location Search option for displaying a map that pinpoints the locations of the primary vehicle assigned to each route for a route manager.
  • Vehicle Alerts on Schedule Board – The Schedule Board provides access to vehicle alert information for the primary vehicle assigned to any route.
  • Property Stop Duration in Time Entry – On the Time Entry screen, Aspire shows the duration that the vehicle was stopped at the property for each work ticket based on the property’s defined geo-fence.

Automatic Vehicle Meter Reading

Aspire can automatically update meter readings for vehicles with GPS tracking.   It will perform these updates if the Create Equipment Readings option is enabled on the Aspire GPS Integration tab of the Application Configuration screen. The update will occur each night. For each vehicle, Aspire will determine how many miles the vehicle traveled since the prior update, and will add those miles to the prior equipment meter reading. A new meter reading is created with the new value.

If the meter reading becomes out of sync with the actual vehicle, you can enter a manual meter reading specifying a value matching the vehicle as shown below. This will bring the meter readings in Aspire back in sync with the vehicle odometer.

Vehicle Map Location

Aspire provides the Equipment Location Search from the More drop-down menu on top of the Schedule Board to display the Equipment Location screen that shows the location of vehicles equipped with enabled GPS tracking devices.

  1. Vehicle GPS trackers to plug into and track fleet vehicle miles and operation data.
  2. Equipment GPS trackers to connect to equipment assets to track operation hours.

GPS Enrollment

This is a pay-per-equipment asset service. Aspire will invoice your company monthly based on the number of equipment assets added to the contract. 

You'll receive a Linxup monitoring device for each vehicle that plugs into the vehicle’s diagnostic interface or Asset Tracker to be connected to other equipment assets.  

You will be able to download an application called FleetSharp to the iOS or Android device and register it to provide access to fleet information outside of Aspire. They can also access the FleetSharp application on the web by going to https://FleetSharp.com

Vehicle Alerts on Schedule Board

On the Schedule Board, Aspire displays an Alert Symbol on a day for which the GPS device recognized an alert associated with the primary vehicle on the route.  If you right-click on that day, Aspire provides the Show Alerts option in the pop-up menu. Selecting this option displays a list of alerts. 

Aspire reports the following types of alerts for the primary vehicle assigned to the route:

  • Harsh braking
  • High speed
  • Rapid acceleration
  • Speeding
  • Device Tampering

Property Stop Duration in Time Entry

On the Time Entry screen, Aspire provides a new GPS Stop column that displays the duration in hours of the total time the vehicle was stopped at the associated property.  

Important Note:
Time only accumulates if the vehicle is turned off – not while it is idling.

Application Configuration for GPS Integration

Once enrolled, the system administrator will be able to log into the FleetSharp application to acquire an integration ID that you will copy and paste into the API Key field on the Aspire GPS Integration tab of the Aspire Application Configuration screen.     The screen elements on the Aspire GPS Integration tab of the Application Configuration screen are described in the following table:

Description

Enable Aspire GPS Integration

Enables the GPS integration and allows access to other setup fields.

API Key

Only displayed if the Enable Aspire GPS Integration checkbox is checked. Get the API key from the FleetSharp application as shown above to enter into this field. 

Create Equipment Readings

Only displayed if the Enable Aspire GPS Integration checkbox is checked. If this checkmark is checked, then each night, Aspire will automatically generate an equipment meter reading for all monitor-enabled equipment.

Equipment Setup

The system administrator will record the IMEI number, also called the Aspire GPS Identifier that is visible on the monitoring device, and place the device into the equipment by plugging it into the vehicle’s diagnostic monitoring port. The Aspire GPS Identifier will allow you to tie the device to the vehicle in Aspire. The association is made by recording the IMEI number into the Aspire GPS Identifier field that is available in the Equipment screen in Aspire.

Additionally, the tracker type must be specified in the Tracker Type field as either Vehicle Tracker (tracks miles and driving data) or Asset Tracker (for equipment assets tracks hours of operation). When you change the value in the Tracker Type field and save, Aspire provides a confirmation.

Important Note:
When setting up equipment, it is important that you do not enter the same Aspire GPS Identifier for two different equipment items. If you do, the GPS tracking behavior in Aspire is unpredictable.

For Asset Trackers, if the FleetSharp interface is properly established, and the equipment asset is tied to the GPS device as described above, Aspire will automatically request and update the meter readings for the equipment asset each day. These updates are based on the number of hours the equipment has run since the prior meter reading was recorded. Since these equipment readings are automatically updated daily, Crew Mobile does not include equipment assets that have been assigned an Aspire GPS Identifier to be included in the list of equipment for manual meter logging.

Route Setup

Aspire allows a primary vehicle to be tied to a route supporting equipment GPS tracking for the route. The association between the primary vehicle and the route is defined by selecting the equipment item representing the vehicle in the Primary Vehicle field on the Route tab of the Route screen. The combo-box that displays the selection options displays all active equipment associated with the route’s branch that has not been assigned to another route. For each equipment item in the selection list, Aspire shows the following information: Asset Number, Model, and Equipment Description.

If an equipment item defined as the primary vehicle is being moved from one route to another, removing it from the first route is necessary before assigning it to the second route.

Important Note:
Do not confuse the association of the primary vehicle to a route, with assigning equipment to a route from the Route field on the Equipment screen.  The primary vehicle assignment supports GPS tracking for the route, whereas the equipment assignment on the Equipment screen supports logging of equipment readings from Crew Mobile for a route.
