Using the Work Ticket Item Sourcing Report

The Work Ticket Item Sourcing Report shows the purchasing information of work ticket items to help you track and organize sourced and purchased items that are needed before the start of a job. This report includes the ability to make in-line modifications of Job Tags, Source, and Notes for work ticket items. Modify these for individual items or simultaneously for all items included in a work ticket.

You can also export and print reports you've filtered.

You must have the View Revenue and View Work Ticket Item Sourcing permissions to access this report.


Manage a Work Ticket Item Sourcing Report

  1. Go to the Reports module.
  2. Click the Standard Reports tab. 
  3. Under the Production heading, click the Work Ticket Sourcing report.

  1. Title Header - the Work Ticket Item Sourcing header will appear as the general title for all reports printed or exported. 
  2. Report Fields/Filters 
    1. OPP #- opportunity number to which the work ticket purchasing items belong.
    2. OPP Name - opportunity name to which the work ticket purchasing items belong.
    3. Work Ticket # - work ticket number. 
    4. Item Name - the name of the item.
    5. Unit - Measurement type of the item.
    6. QTY - (quantity) The number of units of the item.
    7. Scheduled Date - Work ticket scheduled date.
    8. Sales Associate - Sales representative for the opportunity.
  3. Modifiable Report Fields 
    1. Job Tag - text field that allows you to mark a work ticket based on a specific attribute. 
    2. Source - enables you to indicate whether an item will be pulled from an inventory location or needs to be purchased by a vendor. 
      1. The dropdown will only display active vendors and inventory locations from the same branch as the opportunity if the branch override feature is enabled or from the property that the opportunity is under if the branch override is not enabled. 
    3. Notes- list additional information to associate with a purchasing item. 
  4. Save changes. 
  5. More Actions Menu
    1. Update Report Filters 
    2. Export to Excel 
    3. Print
  6. Expand or collapse the opportunity section 

Tips

  • Within modifiable fields, all items within one opportunity can be updated in bulk by making changes in the section header. This header line also contains the option to collapse or expand an opportunity section.

  • To change an individual opportunity section, expand the section and input data in the correct cell that corresponds with the entry line of the item.  

 

  • Any information that you add or change in one of the modifiable report fields will appear in front of a yellow highlighted background that disappears once the changes are saved. 
  • Use the report filter to customize the information that you want to see displayed in your report.

Updating Report Filters

Use the Report Filters modal to customize the information that you want to see displayed in your report to best reflect the needs of your company.

Printing Work Ticket Item Sourcing Report

  • Go to the More Actions menu and click print to see a landscape PDF preview of the report that you have filtered and displayed in Aspire. 
  • The option to print will be disabled when there is no data on the report. 
  • In addition to the default layout for this report, you can create and use report layouts you have created if you have access to the Web Report Designer

Keep in mind 

Ensure that you disable pop-up blockers so that you can view a print preview. 

Exporting a Work Ticket Item Sourcing Report

You can export the reports you curate so that the data can be displayed in an Excel format. All sections on the report expanded or condensed will be included in the Excel spreadsheet. Below is an example of how your spreadsheet will appear.
