Daily Plan Report
What’s New?
As a production manager, you will be able to inform and provide your crews with a list of all the materials that are needed and that will be delivered on a per-visit basis when a Work Ticket contains more than one visit by using the Daily Plan Report in the Purchasing module. You can view and manage the number of items needed for a day of work and account for items delivered during a visit. The daily plan report functions like what is known as a Pick Ticket in the field services industry.
As a crew leader, you can view the daily plan directly from the Visit Details screen in Aspire and the Daily Plan section of Crew Mobile. The current daily plan in Crew Mobile will display materials needed for a Work Ticket Visit. In contrast, previously, it displayed all the materials needed for a Work Ticket, even if multiple visits were included.
Requirements
- You must have the View Purchasing permission enabled to view the Daily Plan Report.
- You must have the Edit Daily Report permission to modify the Daily Plan Report.
- You must have the View Reports and View Audit Report permissions enabled under your user role to view Daily Plan Report Audits.
- Previously, you needed to enable the View Revenue Report to view any report. Now, View Revenue and View Reports are separate permissions.
- If you are a branch admin with enhanced branch security enabled or your user role is assigned to a specific branch, you can only see daily plan report information associated with your assigned branch.
Using the Daily Plan Report
Once you have enabled the permissions to view and manage the daily plan report, take the following steps to manage and navigate the daily plan report.
Navigating the Daily Plan Report
Use the following information to filter, group, display, and manage the daily plan report.
- By default, each item needed for a visit will be individually listed and grouped by visit date and route in ascending order.
- The Quick Filters are located right below the advanced search options. These allow you to filter and display information according to visit day quickly. Available quick filters are listed below:
- Calendar
- Route
- Item Category
- Inventory Location
- The default fields displayed on the Daily Plan Report are as follows:
- Daily Plan - the number of items a crew needs for a scheduled visit. As a production manager, this is the field you modify to reflect this information.
- Daily Delivered - denotes the number of items delivered at a job site. As a production manager, this is the field you modify to reflect this information.
- Quantity Needed - pulls estimated item quantities.
- If you initiate a change order of an estimate for a work ticket, the item quantity will adjust accordingly.
- Quantity Remaining - the number of items within the daily plan and daily delivered field subtracted from the quantity needed.
- When the value in this field is less than zero, the cell will appear with a red highlight so that you know the amount must be reconciled.
- Click the Daily Plan Report Advanced Search List to view a complete overview of the Filter, Display, Sort, Group, and Default List options.
- You can customize the search list and print and export default lists and lists you customize.
- Work Tickets with more than one visit scheduled will display a default value of zero in the Daily Plan field. If there is only one visit scheduled for a Work Ticket, the Daily Plan and the Total Quantity Needed field will reflect the same value. So, you will easily be able to spot Work Tickets that contain one visit.
- When using the System Default list, the date you see will reflect the current day unless you manually update the date within the calendar boxa to something different.
- If you change the date, the next time you visit the system default list, you will see the last date you designated in the calendar portion of the screen.
- Select Today's Scheduled Visits or Tomorrow's Scheduled Visitsb under the System Default list or Clearc out the chosen date value to see today's date reflected for the daily plan report.
Managing the Daily Plan Report
- Go to the Purchasing module.
- Select Daily Plan Report.
- Enter the number of material items needed for a visit for the scheduled date in the Daily Plan cell.
- If applicable, enter the number of material items delivered for a visit on the scheduled date.
- Click Save after updating the report so materials can be accurately pulled for the upcoming work day.
Keep in Mind
- If an Opportunity, Work Ticket, or Work Ticket Visit is deleted, the associated daily plan reports will also be deleted.
- Labor will not be included as a material item in this report.
- Items within a Kit will be decoupled from the kit and listed individually.
Viewing the Daily Plan Report from the Visit Details Screen
You can navigate to the Daily Plan Report from the Visit Details screen (not to be mistaken with the Work Ticket details screen) by taking the following steps:
- Go to the Scheduling module.
- Select the kebab from the Visit Preview menu after clicking on a tile displaying the scheduled visit you want to view.
- Select Edit Visit.
- Click on Daily Plan from the notes section to see the view-only daily plan for the visit.
- You can be redirected to the Daily Plan Report and modify and save changes to the Daily Plan or Delivered QTY field for an item by clicking a listed item.
- You will need the View Purchasing permission to see the Daily Plan Report tab in the Visit Details screen.
Viewing the Daily Plan Report in Crew Mobile
Take the following steps to view the daily plan report in Crew Mobile:
1. Click on Daily Plan to view materials needed for your job. The only difference is that the quantities you see will now be on a per-visit basis instead of per per-work ticket.
2. After selecting Daily Plan, you can choose between seeing the Daily Plan for Today or Tomorrow.
3. You will see a list of items and the quantity allotted for that day.
- Items highlighted in red indicate items to be delivered or items that have been delivered.
- You do not need to clock in or start time to see a daily plan in Crew Mobile.
Auditing the Daily Plan Report
The audit report for the daily plan will show you when a daily plan was created, changed, or deleted and who initiated the change. The steps below detail how to access the report.
- Go to Reports.
- Select Standard Reports.
- Click on Audits under the Administration section of the Reports module.
- Select Daily Plan from the drop-down menu.
