Equipment Inspection Complete (internal) Notification
What’s New?
Designated internal employees can receive an internal Equipment Inspection Complete notification informing you that an equipment inspection has been completed.
Requirements
Permissions
- You will need the Manage Notifications Settings permission enabled under your user role at the system and branch level to create notification templates.
Configuration
After enabling the correct permissions, you must create an Equipment Inspection Complete notification template.
Creating an Equipment Inspection Complete (internal) Notification Template
You can customize your notification using the following steps:
- Navigate to the Administration menu.
- Select Notifications.
- Click on Manage Notifications.
- Click on New.
- Select Add Email Notification.
- Complete the Required fields.
- Notification Name - choose a naming convention that best suits your company's needs.
- Branch - You will only see branches to which you have access. You can select more than one branch.
- Recipients - designate which internal employees will receive the notification. You must select one or more recipient types; Route Manager, Branch Manager, and Equipment Manager.
- Division - Select one or more divisions to which the notification applies.
- Notification Type - select Equipment Inspection Complete (Internal).
- Trigger Type - A trigger type is an action that determines why the notification is being sent to the recipient. Select one of the following trigger types:
- Equipment Out of Service - a notification will be sent if an inspection category has one or more critical failing scores.
- Equipment Inspection Failed - a notification will be sent if an inspection category has one more failing score that is not critical.
- Equipment Inspection Warning - a notification will be sent if the equipment inspection contains a warning/yellow score or if the inspection contains a note or attached image.
- Equipment Inspections Passed - a notification will be sent if the equipment inspection contains a passing/green score for all inspection categories and does not contain notes or photos.
- Delivery Time - Select one of the following options:
- Immediately - send out a notification when the equipment inspection is complete.
- Digest - Daily - select a time to receive the notification daily.
- Digest - Weekly - select a day to receive the notification weekly.
- Email Subject - type a subject or choose a token using the textbox.
- Email Header - add an email header to the rich textbox field.
- Email Body - You can manually type out the message you want recipients to see or click on the search icon to choose from tokens.
- Manually typed text and tokens will go against the maximum 320-character count.
- Email Footer - add an email footer to the rich textbox field.
- Click the Test button in the upper right corner to preview your message before the template appears as active in the Manage Notifications advanced search list.
- Click the Save button in the upper right corner, and your successfully completed template will populate the Manage Notifications search list.
Keep in Mind
- You must complete the required fields and ensure your message does not exceed the 320-character limit to Save or Test your notification.
- When editing your notification message, you will see a Duplicate Notification error message if a field matches another template. You must change the information in one of those fields before you can save or test the modified message.
Administrative Notification Log
As a system administrator, you can view and filter the sent notifications by taking the following steps::
- Navigate to the Administration menu.
- Select Notification.
- Click on Notification Log.
- Use the advanced search (filter, display, sort, and group) options to create and save your notification log search lists.
