6.14.0 Equipment Enhancements
What’s New?
Here is a summary of the equipment enhancements in this release:
- Newly added Inspection Category configurations now allow you to require a score for an inspection category or mark an inspection category as Critical. When you enable the Critical feature for an Inspection Category, equipment assets that receive a failing score for that specific inspection category are automatically marked as Out of Service.
- Request Source is a field that displays where a service request originated that can now be seen on the Service Log modal.
- Internal Equipment Inspection Complete Notifications
- Send out Inspection Complete (Internal) notifications to an internal designated contact.
- A new Equipment Manager field has been added to the Branch details screen so equipment-oriented notifications can be sent to designated personnel.
- Customize the way you communicate equipment inspection reporting.
- A newly added inspection layout has been added to the report designer.
- View the observed category scores for Equipment Inspections on the Equipment Inspections details screen so that you do not have to do score conversions by reverting the value of a score back to its score type.
Inspection Category Enhancements
The following information will outline how to use the new Score Required and Critical inspection category options to choose which inspection categories require a score and which ones should automatically be marked as out of service when receiving a failing score.
- When the Score Required feature on the Inspection Category detail screen is used, a score must be provided for that category when conducting an equipment inspection.
- When the Critical option is used for an inspection category, an equipment item will be marked as Out of Service if a failing inspection score is received.
- Marking a piece of equipment with an Out of Service status will prevent that piece of equipment from being available throughout the Aspire system.
- Score Required and Critical fields can search, filter, group, sort, and display information on the Inspection Categories advanced search screen.
Configuration
Before you can enable the Score Required or Critical options on the Inspection Category detail screen, you will need the following permissions enabled under your user role:
- Equipment Admin Permission - to initiate administrative changes to the inspection categories.
- Mark Equipment Out of Service permission - to manually mark equipment items as out of service.
Enable Score Required or Critical for an Inspection Category
After you have the correct permissions enabled under your user role, you will need to enable the Score Required option if you want to require a score or the Critical option if you want to automatically have the equipment item marked as out of service if a failing score is received under an inspection category by taking the following steps:
- Navigate to the Administration menu.
- Select the Equipment section.
- Click on the Inspection Categories subsection.
- Choose an existing Inspection Category or select a New to create a new one.
- Select either Score Required or Critical.
- Selecting Critical will automatically mark the inspection category as Score Required. Once this option is selected, the Score Required option will be grayed out.
- Click Save.
- You can identify equipment inspection categories with the Score Required option enabled in Crew Mobile by observing the red asterisk next to the name of the Inspection Category OR the Score Required note in red lettering listed to the right of the Inspection Category name. You will receive a warning if you have not completed an inspection category that requires a score.
- You will see a message informing you that the equipment was marked as Out of Service if a failing score was received for an Inspection Category where the Critical option was enabled after you submitted the inspection.
- There is no indicator to differentiate an inspection category with a Score Required or Critical setting. However, because the Critical option automatically requires a score, a red asterisk will appear, indicating that a score is also required.
- Required Inspection Categories will be denoted with a red asterisk on the Equipment Inspection detail screen.
Manually Enable the Out of Service Status
If you have the Mark Equipment Out of Service permission enabled under your user role, you can select this as a status for an equipment asset on the Equipment details screen by taking the following steps:
- Navigate to the Equipment module from the Main Menu.
- Select a listed equipment asset from the advanced search list.
- Go to the More options menu in the upper right corner.
- Select the Out of Service status.
- Select Save.
- The Out of Service dialog will populate, defaulting to the current date. You can change the date and select either Save or Cancel.
- A piece of equipment that is marked as Out of Service will not be available in the following areas of Crew Mobile and Aspire: Equipment, Equipment Inspection, Equipment Meter Reading screen, or the Request Equipment Service section of Crew Mobile.
- You cannot mark equipment out of service from the New Equipment screen.
- The Audit Info tooltip will retain the most recent Out of Service date, and the user assigned the status.
Viewing Out-of-Service Vehicles
When selecting a vehicle for a route, you can quickly view out-of-service equipment so you can select a different Primary Vehicle to designate for the route by going to the Route details screen.
Suppose you designate an out-of-service equipment asset as a Primary Vehicle on a Route. The following message will remind you to switch out the vehicle before saving the change.:
Internal Equipment Notification
- As an administrator, you can configure Complete Inspection notifications so that designated internal employees will receive a notification once an inspection meeting the criteria of the configured notification is complete. Click Equipment Inspection Complete (Internal) for more information about how to use and set up this feature.
- One of the recipient types you can add to this notification type is a new field on the Branch details screen called Equipment Manager. This field can be used to designate an employee who will be responsible for the equipment operations within a specific branch.
- The dropdown consists of active Employee and Subcontractor (Sub) contact types. You will only see this field on the branch details screen if your company has access to the Equipment section of Aspire.
- If Enhance Branch Admin Security setting is in use and the Equipment module is available, the admin user will see the Organization section in the Admin menu, and the Equipment Manager field will appear on the Equipment details screen.
Request Source
You can now see the origins of a service request by observing the information in the new Request Source field on the Service Log modal. The request source can be accessed on the Equipment details screen or the Service Log modal accessed from the Services Due or Service Logs sections of the Equipment module after selecting the desired equipment item. By default, the Request Source field will be displayed on the advanced search list of the Services Due, Service Log screen.
You will see one of the following read-only inputs in the Request Source field:
- Scheduled
- Manual Request
- Equipment Inspection
Below is a breakdown detailing what this information entails when accessed from the Equipment Details screen. Remember, you must have the View Equipment Permission permission to view the Equipment details screen.
- Scheduled - The service request was created by selecting a Maintenance Service type from the All Services or Due Services modal to schedule the service.
- A Manual Request - A crew member initiated the service request via the Request Equipment Service option within Crew Mobile, or the service request was created by selecting a Request Service service type on the All Service or Due Services modal.
- Equipment Inspection - The service request was automatically generated from a failing category with an associated Service Tag during an equipment inspection within Crew Mobile.
Printing or Emailing an Equipment Inspection
You can print and email equipment inspections in a ready-to-use and easy-to-digest format from the Equipment module by following the listed steps:
- Navigate to the Equipment module.
- Select the chosen equipment to populate the equipment details screen.
- Click on the hyperlink in the Previously Inspection Score field to view a list of Inspection Reports.
- Select an inspection report from the list.
- Select the More menu.
- Select Print Equipment Inspection Report or Email Equipment Inspection Report.
- Choose a Report Layout.
- The Default Layout will be the only available layout unless you have created and saved a custom Equipment Inspection layout using the Report Designer.
- Choose an Export Type.
- Click on the option to Print.
- You will see a Print Preview first, and then you will want to select the Print icon to confirm the action.
- The printout will resemble the Print Preview selection below.
Include the following required and optional information before emailing the report.
- To: Select an existing Aspire Contact
- To: Add an email address not associated with an Aspire contact.
- CC: Add an additional contact.
- Subject: Manually describe a subject or select a Token.
- Attach Report: Select a report layout. Choose a Report Layout.
- The Default Layout will be the only available layout unless you have created and saved a custom Equipment Inspection layout using the Web Report Designer.
- Message: Draft your message using the tools provided in the rich text format box.
- Send: Select Send once you are satisfied with the email.
Reports: Printing or Emailing an Equipment Inspection
You can print and email equipment inspections in a ready-to-use and easy-to-digest format from the Reports module by following the listed steps:
- Go to the Reports module.
- Click Standard Reports.
- Select an Equipment Inspection.
- Follow steps 4-7 from Equipment: Printing or Email an Equipment Inspection.
Equipment Advanced Search Lists
- You can now filter, group, sort, and display using the Equipment Status field on the Services Due screen of the Equipment module.
- You will now be able to sort, group, filter, and display information on the Equipment advanced search list screen using the following new additional fields:
- Out of Service status
- Out of Service User field
- Out of Service Date field
Scoring Display
- You will notice that the Inspection Category details screen displays the raw category score instead of displaying the numerical value of the score. This saves you time converting the score back to the chosen Score Scale Type. The conversion charts below display the numerical values of a category type given the Scale Type.

- Text-based report designs that do not support images will display the raw score for inspection categories in text.

Create Equipment Inspection Reports Using the Web Report Designer
The equipment Inspection report type has been added as a default layout to the Web Report Designer so that you can create custom report templates.
GPS Modal Enhancement
When using a GPS integration such as Azuga or Fleetsharp with the Equipment module, you will notice that the GPS Set Up modal now includes a read-only field Asset number field.
