Article Summary

The following information describes the invoicing-oriented Permissions that can be assigned to user roles.

Create Invoice

This permission is required to create new invoices. It is required for you to have access to the following:

  1. The New Miscellaneous Invoice option in the Invoicing Assistant.
  2. The Bulk Actions menu allows the selection of the Generate Invoice option in the Invoicing Assistant. Note that you must also have the Edit Invoice permission, or you cannot complete the invoice batch, which modifies the invoice.
  3. The New Misc Invoice option in the Aspire Navigation Bar.

To access the New Miscellaneous Invoice options mentioned above, you must have System Admin or Branch Admin permission.

Delete Invoice

Allows you to delete invoices. This permission determines whether the Delete Invoices option is available on the menu of the Invoice screen. You must also have View Invoices and Edit Invoices permissions to delete invoices.

Edit Invoice

The Edit Invoice permission determines whether you can modify the values on the Invoice screen. If you do not have this permission, the Invoice screen is read-only. Additionally, you must have this permission to complete an invoice batch.

Modify Sent Invoices

Allows you to modify and resend an invoice previously sent to the customer. Gives access to the Void and Reset option on the menu of the Invoice screen for invoices in the Sent status.

View Invoice

Allows you access to the Invoicing Assistant screen, Invoice Batches screen, Invoices screen, and Log Events Search List screen available from the Invoice icon of the Aspire Navigation Bar. Other options in the Invoice icon are available by the View Accounts Receivable permission. The View Invoice permission also allows you to view and edit from the Property Detail screen or the Property Overview Contact screen, in which contacts will receive email invoices. You must have either Edit All Properties or Edit My Properties permission to edit which contacts will receive email invoices. Lastly, the View Invoice permission lets you see Pending Invoice Batch notifications in the Resource Center
