The Submittal Projects screen offers a centralized platform to manage the submission, review, and approval of decisions and price changes within construction projects. Role-based permissions enable you to securely create, modify, and view submittals, facilitating organized and effective communication throughout the project lifecycle.

If you have the appropriate role permissions, you can access the Submittal Projects screen from the following locations in Aspire:

  • From the Opportunities Search List screen, select the Submittal Projects tab.
  • From the Opportunities Search List section in the Properties screen, select an existing opportunity or create a new one from the top of the search list, then select the Submittal Projects tab.

 When you navigate to the Submittal Projects page, you’ll find two sub-menu tabs:

  • Projects: This tab displays all opportunities with submittals enabled.You can create, modify, and view submittals. Select a row to drill into the opportunity's Submittals page. 
  • Action Needed: This tab lists all submittals submitted via the Collaboration portal that are not yet assigned to an opportunity. You can assign these submittals to opportunities using a modal interface.

The screen elements of the Submittal Projects - Projects subtab are described below:

Screen elementDescription
Opportunity Number

Displays the unique identifier for the opportunity associated with the submittal. This number allows you to track and manage related submittals across different projects.

Opportunity Name

Shows the name of the opportunity tied to the submittal. This provides context for the project and allows you to easily identify the relevant opportunity.

Division Name

Indicates the division responsible for the opportunity. This helps you organize and filter submittals based on specific business units or departments within your organization.

Property Name

Lists the name of the property associated with the submittal.

StatusIndicates the current stage of the Opportunity linked to the submittal, such as Won, Bidding, or Approved. See the Opportunity Status and Stage sections inLists for more information on opportunity status and stage.

Options to Save As, Print Screen, Export options

The Action Needed subtab displays a list of submittals that have been submitted via the Collaboration Portal but are not yet assigned to an opportunity. On this page, you can review unassigned submittals and assign them to the appropriate opportunities.

Screen elementDescription
Submittal Name

Displays the name of the submittal.

Due Date

Shows the deadline for the submittal review or response.

Date Sent

Indicates the date the submittal was sent to the designated recipient, providing a clear timeline for tracking its progress.

Sent By

Lists the name of the user who sent the submittal.

Status

Displays the current stage of the submittal. Available statuses include:

  • Draft: The submittal is in progress and has not been sent yet.
  • Submitted: The submittal has been sent and is awaiting action.
  • Rejected: The recipient has declined the submittal.
  • Approved: The submittal has been accepted, and no further changes are required.

Search bar and filter list

Use the search bar to enter a query or select an option from the filter list to refine your search. For details on available filter options, see Filter Types in the Aspire User Guide.

More Actions menuSelect the three-dot menu, then Assign Submittal to open the Assign Submittal modal, where you can assign the selected submittal to an opportunity.

The screen elements of the Assign Submittal modal are described below: 

Screen ElementDescription
Submittal Name

Displays the name of the submittal being assigned to an opportunity.

Sent By

Lists the name of the user who sent the submittal.

Opportunity

Use the drop-down to assign the submittal to a specific opportunity. The list includes only opportunities linked to properties where the sender is designated as a submittal contact. For more information, see Property Contacts List.

Save buttonSelect this button to assign the submittal to the chosen opportunity. When you save, Aspire will both assign the submittal to the opportunity and enable submittals for that opportunity if they are not already enabled.
