Administrators can now add Avalara-calculated sales tax fields to invoice and estimate layouts in Web Report Designer, giving your customers accurate, jurisdiction-aware tax breakdowns on their documents.
What's changing with Avalara sales tax fields?
Previously, invoice and opportunity layouts relied on Aspire's native tax jurisdiction fields to display sales tax totals. If your organization uses the Avalara integration, those native fields don't reflect the tax amounts Avalara calculates.
Now, eight new data fields are available in the Web Report Designer; six for invoice layouts and two for estimate layouts that pull directly from Avalara's tax calculations. Adding these fields to your layouts ensures the tax totals your customers see match what Avalara computed.
Before & after
Before (current)
Open the Web Report Designer from Administration > Application.
Edit an invoice or estimate layout.
Only native Aspire tax fields are available. For example, InvoiceOpportunityTotalSalesTaxAmountTotal.
Tax amounts on customer-facing documents reflect Aspire's built-in tax jurisdiction rates, not Avalara.
After
Open the Web Report Designer from Administration > Application.
Edit an invoice or estimate layout.
New Avalara tax integration fields are available alongside existing fields.
Add the appropriate Avalara fields to display tax at the service, opportunity, or total level.
Tax amounts on customer-facing documents now reflect Avalara's jurisdiction-aware calculations.
Impact: Your invoices and estimates display accurate Avalara-sourced tax breakdowns, eliminating discrepancies between what Avalara calculates and what your customers see on their documents.
New invoice layout fields
Six new fields are available under mdInvoice in the Web Report Designer for invoice layouts:
New opportunity proposal layout fields
Two new fields are available under spReportOpportunityService in the Web Report Designer for estimate (opportunity) layouts:
Who's affected?
Roles impacted:
System Administrator — Configures invoice and estimate layouts in the Web Report Designer.
Billing Manager — Reviews customer-facing invoices for tax accuracy.
Business Owner — Ensures customer documents reflect correct tax information.
Note:
These fields only display values when the Avalara integration is enabled and configured. If Avalara is not active, the fields appear blank on generated documents.
How to prepare
Review your current layouts: Open the Web Report Designer from Administration > Application and identify which invoice and estimate layouts use native sales tax fields.
Replace native fields with Avalara fields: For each layout, swap the existing tax fields with their Avalara equivalents using the mapping tables above.
Test your updated layouts: Generate a preview invoice and estimate to confirm the Avalara tax values display correctly.
Update training materials: Revise any internal documentation that references invoice or estimate layout configuration.
Train your team: Walk billing staff through the updated layouts so they understand the new fields and can verify accuracy.
