Pay multiple invoices at once in the Customer Portal

Prev Next

Your customers can now select several open invoices, across any of their properties, and pay them together in one card or ACH payment. Customers with more than one open balance can settle up in a single step.

What's changing?

Previously, your customers could pay only one invoice at a time in the Customer Portal, repeating the full payment flow for every open invoice. Now, they can select multiple invoices from any of their properties and pay the full total in one transaction, with any convenience fees included in a single total before they confirm. Each payment is all-or-nothing: if it doesn't go through, none of the selected invoices are marked as paid, and partial payment on a single invoice works the same as today. On the Aspire side, you can filter the Electronic Payment Log by Payment Source to find Customer Portal payments and see each invoice's property and payment status.

Before & After

Before (Current)

  1. Your customer opens the Invoices list in the Customer Portal.

  2. They select Pay Invoice on one invoice.

  3. They choose a payment method and complete the payment.

  4. They repeat these steps for every other open invoice.

After

  1. Your customer opens the Invoices list and selects Select.

  2. They check the invoices they want to pay, from any property, or use Select all.

  3. They select Pay selected and review the total, including any fees.

  4. They choose a saved payment method and select Pay $[total].

Impact: Your customers can clear several open balances in one payment, which can help you collect on aged invoices faster.

How to prepare

  1. Confirm your setup: Make sure your Aspire system accepts electronic payments in the Customer Portal. Multi-invoice payments use your existing payment settings.

  2. Prepare in your existing environment: Review how your team reconciles portal payments today and prepare for the new change ahead of the 6.31 release week.

  3. Update training materials: Revise your internal Customer Portal and electronic payment procedures to cover multi-invoice payments, the Payment Pending status, and the Payment Source filter.

  4. Train your team: Walk your office and AR staff through finding and reviewing multi-invoice payments on the Electronic Payment Log.

  5. Let your customers know: Tell customers with several open invoices that they can now pay them together in the Customer Portal.
