When creating an estimate, you can click an item link to open the Service Item Details screen. This screen lets you view or edit the information for an item or kit's. This screen also automatically appears after clicking Save in the Add One-Time Service Item window.
The image below shows the Service Item Details screen for a single item. When viewing a kit item’s details screen, the item list at the bottom of the screen shows all items in the kit.

a | Item Name | The name displayed on the estimate. Changing this field doesn’t change the official name in the item catalog. Changing this field doesn’t affect kit items. If the item is a part of a kit, the item name listed on the invoice will reflect the original catalog item name. |
b | Quantity | Lets you specify the appropriate kit or item quantity as measured by the measurement unit shown below this field. You can also change kit or item quantity directly from the Estimate screen. |
c | Ext Price | Extended Price is the Unit Price times the item quantity. |
d | Ext Cost | Extended Cost is the Unit Cost times the item quantity. |
e | Unit Price | Unit Price is the per-unit extended price to the customer. By default, the field displays the unit price computed by Aspire based on cost, markup, and profit percent for all items. You can modify this value to force a specific unit price for the kit. If you override Aspire’s calculated value:
When you clear the value in this field and click outside the field, Aspire will recalculate the price and display the calculated value. If you drill into the Service Item Details screen for an item in the estimate under a T&M service, the Unit Price field is read-only if the item is comprised entirely of labor. If the item includes items of any other item type (material, equipment, sub, or other), you can update the Unit Price. |
f | Force Single Unit Pricing | Lets you force single unit pricing in cases where the same item will be referenced in more than one service on the opportunity. |
g | Description | For catalog items, shows the item description from the catalog. You can modify the description in the estimate. Modifications you make don’t affect the item in the catalog. |
h | Estimating Notes | This field lets estimators include notes for the item. Estimating notes are visible in the Purchasing Assistant when creating purchase receipts. Learn more in our article about using notes in Aspire. |
i | Item Name | Name of the item from the item catalog. |
j | Type | Type of item. Available types include Labor, Material, Equipment, Sub (Subcontractor), and Other. For Kits, the items beneath it are the items that comprise the kit. |
k | Vendor | Use this drop-down menu to select the vendor for the service item.
Once an estimate is won, you can’t change the vendor at the estimate level. You can update the vendor when editing the Work Ticket or when creating a purchase receipt in the Purchasing Assistant. If you create a Change Order with the same service and service items, ensure you win the change order to see the updated vendor across the board (i.e., Work Ticket and Purchasing Assistant levels). |
l | Factor | Factor is your production rate that calculates two units of measurement to make estimating more accurate. When one of your units of measurement is time, it shows how much work will get done in that amount of time. When the other unit of measurement is quantity or volume, it shows how much material will be used over the given timeframe, area, or any other unit of measurement you set for the item. For example, if a crew can handle 1,000 square feet per hour, Aspire uses that to calculate how long a job will take based on the total size. m | Units | Shows the relationship of the line item units to the overall units. Read as “Number of first unit per second unit.” For example: “Hours/SqFt” |
n | Invert | Check this box to reverse the Units relationship so that the first number represents the overall units, and the second number represents the units for the line. Learn more in our article about adding kits to the item catalog. |
o | Waste % | Amount of material that’s expected to be wasted based on common usage. This value affects the Qty Adj (Adjusted Quantity) field which determines the actual quantity required on hand to perform the work. |
p | Qty | The initial value is calculated by Aspire based on the overall quantity multiplied by the factor (or divided by the factor if the Invert checkbox is checked). You can override the calculated quantity based on the knowledge of the project. |
q | Qty Adj | Read-only. Adjusted from specified quantity to account for specified waste percentage. |
r | Unit Cost | The expected cost of a single unit of the item when purchased from the vendor. Used in conjunction with markups and designated profit margin to calculate the customer’s price. |
s | Extended Cost | Calculated by Aspire. Adjusted Quantity X Unit Cost. |
t | Delete (trash can icon) | Removes the line item from the kit in the estimate. |
u | Select One | Search for and select an item or kit to add another line item to the kit. |
