Setting Up Site Audit Templates

Overview

Site Audit templates let you standardize inspections across your organization. Instead of freeform audits, you create reusable templates with predefined sections, questions, and scoring criteria that your team follows every time they perform an audit. Templates ensure consistent data collection, making it easier to compare results across properties and generate meaningful reports.

You build templates to define sections using headlines, then add questions within each section. You can use three question types — text response, multiple choice, and multi-select — and mark any question as required. Once a template is active and assigned to one or more branches, anyone with the Edit Site Audits 2.0 permission can use it to start an audit.

Things to know

  • New templates need to have active status before your team can use the template to perform audits.

  • Templates are branch-specific. Assign a template to one or more branches to control which locations can use it.

  • Tags help you organize templates by property type, service line, or any category that fits your workflow. You can create tags while setting up a template or manage them separately from the Tags screen.

  • Multiple choice questions allow auditors to select one response. Multi-select questions allow auditors to select more than one response.

  • If you leave the template screen without saving, Aspire prompts you to save your changes.

Requirements

To create and manage site audit templates, you need the following:

  • The Site Audits 2.0 feature flag is enabled for your organization.

  • Your user role includes the Site Audits 2.0 Admin permission. This permission is found under the Site Audits category on the User Roles screen in Administration > User Management > User Roles.

Note:

The Site Audits 2.0 Admin permission automatically includes View and Edit access. You don't need to select those permissions separately.

Steps

  1. Go to Site Audits > Templates in the left side menu.

  2. Select Create New Template. The New Template screen opens with the Template Builder.

  3. For the Status field, choose Active or Inactive:

    1. Inactive (default) — The template is saved but isn't available for audits at the selected branches.

    2. Active — The template is saved and available for audits at the selected branches.

Tip:

Start with Inactive while you build and review your template. Change the status to Active when you're ready for your team to use it.

  1. In the Template Name field, enter a descriptive name for the template (for example, "Monthly Landscape Inspection").

  2. From the Branch menu, select the branches where this template should be available.

  3. From the Tags menu, select one or more tags to categorize the template. To create a new tag, select the + button next to the menu.

  4. Choose to enable the checkboxes.

    1. Share to Customer Portal - check this box if you want the Site Audit visible to your customers inside of their Customer Portal.

    2. Use 1-5 rating (required to complete) - check this box to require your employee to score the site audit before it is marked as complete.

Add sections to the template

Sections organize your template into logical groups. Each section includes a headline and an optional description that provide context for auditors.

  1. In the Headline field, enter a title for the section. For example, "Exterior Assessment".

  2. In the Description field, enter optional instructions or context for auditors completing this section.

  3. To add more sections, select Add Section. Each new section appears below the previous one.

  4. To reorder a section, use the horizontal three-line icon to move it to the desired position.

Tip:

You can collapse any section by selecting its headline. This makes it easier to work with templates that have many sections.

Add questions to a section

After creating a section, add questions. Each question has a response type that determines how auditors provide their answer.

  1. In the Question field, enter the question text.

  2. From the Response Type menu, select one of the following:

    • Text — The auditor enters a free-form written response. Optionally, enter placeholder text in the Placeholder Text field to guide auditors on what to enter.

    • Multiple Choice — The auditor selects one response from a predefined list. Two default options appear. Edit the option text, select the X to delete an option, or select Add option to add more. Multiple choice questions require at least two options.

    • Multi-Select — The auditor selects one or more responses from a predefined list. Works the same as multiple choice, but auditors can select more than one answer. Multi-select questions require at least one option.

  3. To make the question required, turn on the Required toggle. When this is on, auditors can't submit the audit without answering this question.

  4. To duplicate or delete a question, select the three-dot icon on the question block to open the action menu, then select Duplicate or Delete.

Tip:

To reorder a question within its section, use the drag handle to move it to the desired position.

Preview the template

At any time during the creation of your template, you can select the Template tab at the top of the Template Builder window, to preview the template.

Save the template

  1. When you've finished adding sections and questions, select Save. Aspire saves the template and returns you to the Templates list.

  2. To exit without saving, select Cancel. Aspire prompts you to confirm before discarding your changes.

Important:

If the template status is Inactive, the template won't be available for audits even after you save it. Go to Site Audits > Templates, open the template, and change the status to Active when you're ready.

Edit an existing template

  1. Go to Site Audits > Templates.

  2. From the Templates list, select the template you want to edit. The template opens in the Template Builder.

  3. Make your changes to the settings, sections, or questions.

  4. Select Save.

Delete a section or question

  1. On the section or question you want to remove, select the three-dot icon to open the action menu.

  2. Select Delete.

Caution:

Deleting a section removes the section and all questions within it. This action can't be undone.
