Site Audit Screen Overview

Purpose

The Site Audit screen assists the auditor in performing site audits and allows other office personnel to view or edit site audits. It displays a list of audit categories that the auditor evaluates.

Clicking on the New Audit icon displays the New Site Audit screen allowing you to select the Site Audit Type and specify a Site Audit Name. The value in the Site Audit Name field defaults to the Site Audit Type. Click Save and Aspire creates the site audit and displays the Site Audit screen.

Site Audit Search List Screen

The categories listed for the audit are based on the audit type selected (i.e. or “Disease”, “Insect Control” or “Pruning and Shaping” in the screenshots below).

Site Audit Screen

The Site Audit screen is displayed from the Site Audits Search List screen when you click the New Audit button or click an existing site audit in the list to view or edit.

The following table describes the available screen elements:

Screen Element

Description

Category Name

Displays the name of each category to be evaluated for the site audit.  Clicking the category selects the category opening additional info for the category. When one category is selected in this manner, the previously selected category is de-selected.  Only one category can be selected at a time.  

Photo Count

The number in parenthesis following each category name shows the number of photos attached to the category.

Category Score

This drop-down list allows the auditor to specify a quality rating for the category on a scale of 1 to 10.  The default prior to selecting a score is NA. The individual category audit scores are combined and averaged as a percentage to produce the overall site audit score displayed on the Site Audits Search List screen (Desktop only – not displayed in the Crew Mobile App).

Category Description

For the category that is selected, displays the category description established when the category is defined in Admin.

Location Icon

This icon is only visible for categories that have associated photos attached. Clicking or touching this icon displays the Property SA Map screen. If location services were enabled when taking the photos, the map will display the individual location of each photo for the selected category.  If location services were not enabled when the photos were taken, then the property location will be shown.

Add Existing Items

Selecting Add Existing Items from the More drop-down displays the Add Existing Items screen allowing you to add existing work orders that are still in the sales process (not won or lost) or open issues to categories within site audits.  

Add Category Tags

Selecting Add Category Tags from the More drop-down displays the Property Site Audit Notes screen allowing the auditor to select predefined or custom tags specifying conditions that apply to the property related to the selected category.

Add Image

Initiates attaching a photo from the device or by taking a picture.  The photo is added to the currently selected category.

Audit Info Icon

Only available in the desktop interface.  Clicking the Audit Info icon displays status information about the audit as depicted to the right. Clicking the X in the upper right-hand corner of the status area closes the Audit Info.

SA Report

Only available in the desktop interface.  Selecting SA Report from the More drop-down generates a PDF report for the site audit as depicted in the section, Printed Site Audit Reports.

Complete

Selecting Complete from the More drop-down will put the Site Audit into complete mode. You are also able to select Uncomplete to put it back into uncomplete mode if needed.

Adding Existing Items

Aspire allows you to tie existing work orders that are still in the sales process (not won or lost) or open issues, to categories within site audits. When opportunities or issues are added to a category, they are visually represented in the site audit category by the first image that is attached to the work order or issue.  The screen is displayed by clicking Add Existing Items from the drop-down to the right of a category on the Site Audit screen.

Once the Add Existing Items screen is displayed you can see the list of Opportunities and Issues available to add to the site audit.  

The items available in the lists are determined as follows:

  1. Opportunities available are work orders that are still in the sales process (neither won nor lost) and not already attached to the site audit.

  2. Issues available are those that have not been completed, are associated with the property, and have not already been added to the site audit.

If one or more images have been added to the opportunity or issue, the most recently added image is shown. If no images have been added to the opportunity or issue, the item is represented as shown here

When you select either a work order (opportunity) or issue, Aspire highlights it. Clicking Save adds the selected work order or issue to the category in the Site Audit as shown below. The issue or work order is shown under the category on the Site Audit with an icon indicating that the image is attached to an opportunity or an issue.

Additional Options for Photos

When you click on a photo within a category of a site audit, the following menu displays:

Screen Element

Description

Show on Map

Displays the Property SA Map screen allowing you to view the map location or reposition the location where the photo was taken.

Modify

Displays the Photo screen allowing you to update the size of the saved photo or to add notes. Note that photos can only be reduced, they cannot be enlarged once saved at a smaller size.

Create Opportunity

When you select this option, Aspire initiates the process of creating an opportunity by displaying the Select Existing Images screen. Once you have selected images from the existing category to include on the issue and click the Save icon, Aspire displays the Templates screen allowing you to complete the process of creating the opportunity. Thereafter, the Opportunity screen is displayed and the following actions are applied to the new opportunity:

  1. The opportunity name is initially set based on the site audit category and the property is set based on the property of the site audit.

  2. If there is an Operations Manager on the property, Aspire will set the Operations Manager on the new opportunity to match.

  3. All the selected images from the site audit are added to the bottom of the Proposal Description 1 field of the newly created opportunity. The images will be added below any of the Proposal Description 1 that is already provided in the selected opportunity template.

  4. Any of the tags on the same selected images will be included in Proposal Description 1 next to their respective image.

Delete

Immediately deletes the photo.

Using Images for creating Issues or Opportunities

When creating a new opportunity or issue from an image in a site audit category, Aspire now allows you to select multiple images from the site audit to attach to the newly created opportunity or issue.

When you select Create Issue from the drop-down on an image in a site audit category, Aspire displays the File Selector screen shown to the right.

This screen displays all images in the selected category. The image from which you initiated their action will be highlighted. Click on other images to be added, if any then click Save.

The Activities screen is displayed for the creation of the new Issue or Opportunity.

Editing Photos on Site Audits

The Photo screen is used to attach new photos to a site audit, or for existing site audit photos, to change the image size or add notes.

Note:

When changing the size of photos, they can only be reduced. They cannot be enlarged once saved at a smaller size.

The screen is accessed by clicking on an existing photo and choosing the Modify option from the drop-down menu, or by clicking Add Image from the drop-down at the top of each Type of the Site Audit screen.

The following table describes the available screen elements:

Category

Displays the name of the category with which the photo is associated and allows you to change the category by selecting from a drop-down list of valid categories for the selected site audit type.  If the user changes the value of this field, the list of notes at the bottom will be refreshed to reflect the selected category.  

Size

Allows you to choose the image size at which the image should be saved as explained in the article, Image Attachment Size. Options are small, medium, large, and actual size.

Photo

If a photo has been selected, it is displayed here.  

Browse

If a photo has been selected, it is displayed here.                                  

Photos/Take Photo

Clicking or tapping this field allows you to take a photo (if on a mobile device) or to select a photo to attach. Once the photo has been selected, it will be displayed in this space. When the auditor clicks or taps this area, a device-specific selection screen is displayed for choosing the photo or image.

Tags

Predefined category tags are established when the site audit category is defined. You can enable or disable tags to specify whether they apply to the current site audit. You can also launch the Add icon to the right of Tags to launch the Category Types screen to add additional custom tags.

Save

Clicking this icon saves the photo and returns you to the Site Audit screen. The photo will be available on the Site Audit screen and the pin-point icon will be added to show the map with the location of the photo.

Using the Sketch Feature

The Photo screen is used to sketch on, or otherwise annotate photos in a site audit. The screen is accessed by clicking on an existing photo and selecting Modify from the More drop-down or by adding a new photo from the Site Audit screen.

The following table describes the available screen elements on the Photo screen.

Undo

Sequentially removes graphics that were added to the drawing beginning with the most recent and working backward.

Rectangle Tool

Allows you to draw a rectangle by clicking on a starting point for one corner of the rectangle, holding down the mouse button, moving the mouse, and releasing the mouse button at the opposite corner of the completed rectangle.

Circle Tool

Allows you to draw a circle by clicking on a starting point for one corner of the rectangle containing the circle (or oval), holding down the mouse button, moving the mouse, and releasing the mouse button at the opposite corner of the completed rectangle containing the circle.

Text Tool

Allows you to draw a rectangle, and then click within the rectangle to type the text that will be overlaid onto the image.

Arrow Tool

Allows you to draw an arrow by clicking on the starting point of a line, holding down the mouse button, moving the mouse, and releasing the mouse button at the point where the arrowhead should occur.

Drawing Tool

Allows you to free-form draw on the image using the mouse or, on a touch-screen device, the finger.

Color Chooser

Allows you to choose the color that will be used for all graphics, including those already added.

Redo

Sequentially restores graphic elements to the drawing that were removed with the undo command. Restores the most recently removed graphic element and works its way backward with each click on the icon.

Undo All

Clicking this leaves the Sketch screen without saving the graphics that you have overlaid onto the image.

Save

Clicking this icon saves the image overlaying the elements you have added. Note that the objects they have rendered onto the image become an integral part of the photo and cannot be removed once added.

Photo Tags

A photo tag is a helpful organization tool you can use to classify and group your site audit photos. Photo tags can be created and managed directly from the Site Audit Photo Editor screen.

1. Create a custom photo tag by typing the tag name and clicking the Add icon or Enter on your keyboard within the Tags field.

2. Choose an existing tag by clicking on the downward arrow icon at the right of the Tags field to select a tag.

Editing and Deleting Photo Tags

Edit a photo tag by first clicking on the pencil icon within the tag. This will open the Photo Tags modal, where you can either edit the name of a tag or delete the tag. Once you have decided to modify or delete a tag, click Update to submit the changes.

Property Site Audit Map Screen

The Property Site Audit Map screen displays a  road or satellite map so site audit photos taken for an evaluation category in a site audit can be viewed directly on the property if location services were enabled when the photos were taken. The specific location of each photo will be pinpointed on the map with a geolocation pin.  If location services were not enabled, then just the property location will be pinpointed.

Property Site Audit Map Features and Functionality

Geolocation Icon

  • Click on the geolocation icon to see the location of a site audit property along with an overview of the site audit from a map perspective when a site audit is in progress or completed.

Navigation Tools

  1. When viewing the map, click on a location pin icon to view the image that was taken on the property during your site audit at that location.

  2. Switch between a roadmap or Satellite View

  3. Zoom In and out of the view by using the - or + sign.

  4. Drag and drop the person icon on the map to use street view.

  5. Click on the Expand icon to place the map in Full-Screen mode.

  6. Tilt and Rotate the map.

  7. Click the X in the upper right corner to close the map and return to the Site Audit screen.

The screen will allow the user to move the push-pins by dragging them to adjust the photo location if necessary. When the user leaves the map, any new pin locations are saved.

Show on Map

  • You can open the Property Site Audit Map and view a site audit image along with its associated location under a specific evaluation category if you click on the evaluation category to expand the list of site audit images and tags and then click on the menu on the bottom right corner of the image you want to see on the map and select Show on Map.

  • Once the Property Site Audit Map appears, you can adjust the location of the site audit image by dragging the geolocation pin icon to a new location on the map and then clicking Save.

Site Audit Category Tag Screen

The Category Tags screen allows you to add tags (notes) for the selected category of the site audit.  It is displayed by selecting Add Category Tags from the drop-down for a category on the Site Audit screen. The screen displays a list of pre-defined tags that the auditor can check or uncheck to indicate which conditions exist on the property.

Additionally, a custom field is provided.  Selecting that field allows you to type in a note that describes conditions on the property. Once the note is complete, and the user hits the Enter key, Aspire adds a checkmark for that custom item as it does for the pre-defined items when they are selected. Then the auditor can add additional custom notes/tags.

Printing Site Audit Reports

Site Audit reports can be completed for both complete and uncomplete site audits.

Site Audit Report Components

Property Name

The name of the property that is associated with the report will reflect at the top of the report right below your company logo.

Subject

The subject will always reflect as Site Audit Report.

Audited by

This will list the person who conducted the audit  

Evaluation Category

The evaluation category appears as reflected in Aspire.

Evaluation Score

The evaluation score is based on the scale rating provided within the scale

Total Audit Score

You can print a site audit report from the site audit details screen. Click on the three dot menu, select Print Site Audit Report, choose a report layout, and Export Type from the Report Settings dialog and click Print.

You can work with AspireCare to customize the report layouts.  This customization can include sorting the Site Audit Report alphabetically by category. It can also include custom property fields.
