Using the Employee Weekly Time Card

The purpose of the Employee Weekly Time Card report layout is for recording employee weekly (or bi-weekly) time. You can use this layout to review Clock Start and End times for each workday, as well as for any breaks taken.

The records are used to calculate your employees’ total hours worked, which is essential for payroll processing, ensuring accurate payment, and maintaining records for compliance with labor laws.

Understanding how the Break In and Break Out fields are populated

The Employee Weekly Time Card layouts were designed to automatically fill in the Break In and Break Out fields. If you set up your system to display a custom break time within the Break Time Interval (hours) field, the Employee Weekly Time Card layout will not auto fill the Break In and Break Out columns on the layout.

In other words, if you add values in the Interval(Hours) field, this overrides the automation for the Employee Weekly Time Card layout.

If the number is greater than zero, which is shown in the image below, then Aspire will not display that on your Employee Weekly Time Card layout.

If you want to have break in and break out times automated, you should avoid having manual configurations set up in Organizations > Time Reporting.

This also means that you should not be selecting the Lunch checkbox on the Time Entry screen, because that means you have manually conducted an override. If you leave the checkbox alone and keep the Company or Branch Break Time (Hours) to zero, then Aspire will automatically insert the lunch hours on your Employee Weekly Time Card.

Using a DOT Pay Code on the Employee Weekly Time Card

There is a column in the Employee Weekly Time Card using the acronym DOT ( Day Off Time). DOT can refer to hours worked on a scheduled day off. It might be paid at a different rate, sometimes at an overtime or premium rate, depending on company policy and labor laws.

In order to have the Employee Weekly Time Card populate DOT, a special Pay Code needs to be created called DT. The Pay Code Name can be DOT.

The DOT Pay Code can be used by your team that reviews and approves Time Entry. Once you add this specialized Pay Code to an employee and you run the Employee Weekly Time Card, the DOT column will calculate.
