Grid Column LabelDescription
Start

The Clock Time section specifies the time at which the crew member(s) clocked into Aspire on the day shown at the top of the screen. Values can be entered for these fields based on clock-in by a crew member using the Crew Mobile App on a mobile device or can be entered/modified directly on the Time Entry screen by office staff.

The Job Time section specifies the time at which the crew member started working on the job identified by the row label on the day shown at the top of the screen. Values can be entered for these fields by a crew leader starting time for a work ticket in the Crew Mobile App on a mobile device or can be entered/modified directly on the Time Entry screen by office staff.

Time values are entered in 24-hour time, where 7:12 am is entered as “0712” and 7:12 pm is entered as “1912.” Aspire automatically reformats the field to insert a colon (i.e., 19:12). If you enter a Start Time, Aspire requires that it be before the End Time value on the same row.

End

The Job Time section specifies the time at which the crew member stopped working on the job identified by the row label on the day shown at the top of the screen. Values can be entered for these fields by a crew leader stopping time for a work ticket in the Crew Mobile App on a mobile device or can be entered/modified directly on the Time Entry screen by office staff.

Hours

The Clock Time section specifies the time the crew member(s) spent working from the clock-in to the clock-out time. Aspire automatically calculates the value based on the start and end times for the row and cannot be directly changed by office staff.

The Job Time section specifies the time the crew member(s) spent working on the job identified by the row label. Aspire automatically calculates the value based on the start and end times for the row. Unlike the Hours field for the Clock Time section, office staff can directly override the calculated value or type a value for the Hours field. If the time spent is entered directly, Aspire clears out the values from the Start and End fields for the row.

The time is represented in decimal hours, so 1 hour and 30 minutes are represented as 1.5 hours.

LunchThe lunch field represents the time spent on lunch during the day. The use of this field depends on company policies and procedures. Companies can have crew members clock out before lunch and back in after lunch. Companies can establish a standard break time on the Application Configuration screen. If the break time value is provided, Aspire will automatically enter it into the Lunch column on the Time Entry screen, and that amount will reduce the total hours for each line. The latter approach requires crew members to clock in and out only once each day.
Completed CheckboxThis only applies to the Clock Time section of the Time Entry screen. A checkmark in this checkbox indicates that the crew completed the work ticket. The crew leader can specify that they completed the work ticket from the Crew Mobile App on their mobile device; in this case, the checkbox will show checked when office staff review time on the Time Entry screen. Alternatively, if the checkbox is not checked when reviewed by office staff, and they know that the work ticket was indeed completed, they can check it. In any event, the status on the work ticket is marked as complete when the office staff accepts the time by selecting Save.
Note:
Although the crew leader can mark the work ticket completed, and the “Completed” checkbox will show checked on the Time Entry screen, the status of the work ticket is not marked complete until the office staff member accepts the time by selecting Save on the Work Ticket screen.
Labor RateOnly available in the Job Time sections of the Time Entry screen.
A drop-down is displayed in this column only for time and materials (T&M) work tickets having multiple labor rates. It allows you to select which available labor rates apply to the crew member(s) in the row for billing purposes.
Pay CodePay Code. Only available in the Job Time sections of the Time Entry screen. Provides a drop-down of available pay codes on the Admin List Pay Code screen. Most commonly, you will not specify a value in this field, and Aspire will use the default pay code for the employee or, if provided, a default pay code for the service or opportunity service.
GPS StopIf the company has enabled GPS Tracking for their vehicles, this field displays the duration in hours of the total time the vehicle was stopped at the associated property. Time only accumulates if the vehicle is turned off – not while idling.
Crew MembersOne column for each crew member is represented on the Time Entry screen. The table provided in the introduction to the Time Entry screen explains how Aspire determines which crew members are listed on the Time Entry screen.
