What’s New? 

As a user with system admin permission, take advantage of the Inova Payroll Services (IPS) integration enhancements in Aspire that streamline payroll syncing with Inova, offer advanced premium pay code updates, and simplify time-off management. Whether you're configuring settings or managing employee requests, these updates are tailored to make your accounting tasks more efficient and user-friendly. Read on to discover these enhancements and take your payroll and time-off processes to the next level with Aspire.

Requirements 

You must meet these requirements to use this feature: 

  • Must have an Inova Payroll Services account to integrate with Aspire. 
  • You need the IPS Company ID and IPS Short Name provided by Inova to connect Inova to Aspire.
  • System Admin Permission - to view and manage Inova connection and export options. 
  • View All Time Permission  or My Reports Permission  - to view the Weekly Time Review screen. 
  • HR Admin Permission  or View Read Only Payroll Data - to view Inova Pay Records on the Contact screen. 

Configuration 

Inova Pay Code Updates

Key improvements:

  • New features in Aspire's Inova Settings: Choose to export Premiums separately from base pay using an identifier for easier accounting.
  • Overtime Premium details now appear on a separate line in reports, simplifying worker's compensation and financial documentation.

Ensure Inova is activated. Use the Settings tab (Main Menu > Administration > Configuration > Inova Settings and Export Options) to modify Premium options. The following information describes the Premiumoptions on this screen.

  • Check Export Premium Separately to distinguish premium payments from base pay.
  • Define the Premium Earning Code to distinguish premium payments from regular wages. Ensure this code aligns with your accounting setup.
  • Override the default Premium Earning Code if necessary. Update the Pay Code Export Options accordingly.

Navigate to Main Menu > Scheduling > Weekly Time Review to Export and view your new Premium code settings in action! The highlighted cells in the example export below indicate the premium pay code information exported separately.

Direct Payroll Sync

Send payroll files directly from Aspire to Inova, eliminating the need for manual export and import.

Key Improvements:

  • Simple setup in Inova Connection settings with fields for API credentials.
  • Automated file transfer to Inova Payroll Services.
  • A clear display of file import status.

After configuring the Inova integration API settings, access the Inova bulk actions menu on the Weekly Time Review screen (Main Menu > Scheduling > Weekly Time Review) to:

  • Post payroll directly to Inova.
  • Monitor payroll sync progress.
Note:
The Inova integration must be active. Ensure the View All Time and My Reports permissions are enabled.

Inova Bulk Actions Menu New Options:

  • Sync Payroll: Directly send payroll files from Aspire to Inova. 
    • From the Sync Payroll modal, select the payroll period and batch, and click Submit to sync payroll. 
      Note:
      The sync process can take several minutes. Once started, the process will run in the background until finished. You can check the status by selecting Payroll Sync History.

  • Payroll Sync History: Review the sync status, potential errors, submission timestamp, and the initiator. Click an error icon for detailed error reports.

Time Off Request Workflow Automation

Manage Time Off with Inova in Aspire.

Key improvements:

  • Check time off balances for vacation, sick time, and more.
  • Request or cancel time off.
  • Managers can approve, modify, or reject time-off requests via appropriate permissions.
  • For all time off process steps, Aspire will display a notification.

  • Access the Contact screen to view and manage Time Off Accruals.
  • When an hourly employee makes a time off request, a Pending Request notification will populate on the manager’s contact details screen.
  • Use the MANAGE IN INOVA button to request, approve, or cancel time off.
    Note:
    Time Off Accruals are viewable only for contact types present in both Inova and Aspire systems. HR Admins can view this section for all Employee Contacts.
