Visit Screen
The Visit page allows you to view or edit a visit scheduled for a work ticket. This page is available from the following locations:
- Selecting a visit on the Work Ticket Visits screen.
- Selecting the Visit option on the Visit tile pop-up menu on the Scheduling Board Screen.
- Selecting a visit from the Work Ticket Visits drill-down report available on the Reports screen.
- Right-click any tile on the Schedule Board and select Visit Details.
- Right-click any visit on the Gantt Chart, select View Visits, and drill into any specific visit listed.
The following table describes the page elements on the Visit screen.
Screen Element | Description |
---|---|
Screen Title | The page title shows the service name associated with the work ticket for the scheduled visit. It also shows the work ticket occurrence number for the visit and the total number of work ticket occurrences. |
Property | Read-only. Shows the name of the property at which the visit takes place. |
Job | Read-only. Shows the name of the opportunity for which the visit is scheduled. |
Status | Shows the status of the work ticket with which the visit is scheduled. The status is displayed as a hyperlink, which, when clicked, will display the work ticket. |
Visits | The visits field shows the number of visits scheduled for the work ticket on the current day or later. It also shows the total number of visits on the work ticket, which includes visits scheduled in the past and the future. Each of the two numbers is displayed as a hyperlink that, when clicked, displays the Work Ticket Visits screen that lists the visits by date and route. Clicking on one of those visits displays the Visit screen that details the visit and allows you to make modifications. |
New Visit button | The New Visit icon displays the Visit screen, allowing you to add a visit to the work tickets. |
Invoice | Shows the invoice types of opportunity service for which the work ticket of the visit was created. |
Issues | Issues represent problems or questions reported by customers related to a property, opportunity, or work ticket with which the visit is associated. This field provides two numbers, one representing the number of open issues (not resolved) and one representing the total issues for the work ticket, including both open and closed. Each of the two numbers is represented as a hyperlink that, when clicked, displays the Work Ticket Issues page that lists the issues (created date, issue #, status, subject, and due date). Clicking on one of the issues displays the Issue screen, which provides details about the issue or allows you to make updates. |
New Issue button | Clicking this icon displays the Issue screen allowing you to add an issue to the work ticket with which the visit is associated. |
Route | Required. Name of the route on which the visit is scheduled. |
Visit Date | Required. The date on which the visit is scheduled. |
Hours/Day | Required. Defaults to the number of hours specified on the estimate for completing each occurrence of the service. Allows you to specify the number of man-hours anticipated to be spent during the visit. |
Sequence | Required. Allows you to specify the sequence order of the visit relative to visits scheduled for other work tickets on the same route for the same day. |
Budgeted Hours | Read-only. The number of hours budgeted for each service occurrence on the opportunity estimate. |
Worked Hours | The number of hours worked on the associated work ticket is based on time allocated to the work ticket through time entry. |
Scheduled Hours | Hours that are scheduled for all future visits on the work ticket. |
Ticket Notes | This field displays notes added to the work ticket on the Work Ticket page made available to the crew leader in the Crew Mobile App when you navigate to a visit to start work. Clicking on this field displays the note in an editor that allows you to modify the work ticket note. |
Visit Notes | The Visit Notes section displays notes associated with visits entered by crew leaders using Aspire Crew Mobile, Aspire Mobile, or by office personnel in Aspire Web. Each note includes the following details:
Notes are sorted by the Created Date by default. To adjust the sort order, select any column header. Select the Shown in Portal check box to share a visit note with your clients via Customer Portal 2.0. Published notes will be visible to clients in the Customer Portal. |
Add Visit Note button | Clicking this icon displays the Add Visit Note page, allowing you to add an issue to the work ticket with which the visit is associated. |
Options Menu | The Options menu provides one option to delete the visit. |
Save | The Save icon saves any changes made to the visit. |
Notes
Visit Notes
The Add Visit Note page lets you create notes for crew leaders in Aspire Crew Mobile and Aspire Mobile, with options to control where they display across Aspire.
To add a visit note:
- Select the Add Visit Note icon to open the Visit Note screen.
- Enter the note text in the provided field.
- Optional: Select Publish Visit Note to Customer Portal to make the note visible to clients in the Customer Portal.
- Optional: Select Publish attachments and notes for reports to include in Aspire reports.
- Optional: Add an attachment (e.g., image or document). The attachment count displays as a hyperlink, which, when clicked, shows the list of attachments for review or editing.
- Select Save to finalize the note.
When attachments are added to a note, they are represented in the notes list as follows:
- A thumbnail of the image is shown for images or photos.
- For documents (i.e., Word, Excel, etc.), an icon representing the application that can edit the document is shown.
Clicking on the thumbnail or application icon will allow you to download and view the attachment.
Ticket Notes
Daily Plan
The daily plan section lists item estimations for the associated visit. If you have permission to View Purchasing, you will have view-only access to this report. You can manage the items listed directly from this visit screen if you have the View Purchasing and the Edit the Daily Plan permissions under your user role.
Equipment information
The equipment section lists the equipment name and days scheduled for the associated visit.
Work Ticket Visits
The Work Ticket Visits page will display when you click on the Visit hyperlinked number on the Work Ticket screen or the Visit screen. It shows the list of visits under the work ticket and lets you view or edit one by clicking the line item.
