Overview

The EOM Checklist report in the Reports module helps you standardize and complete month-end reconciliation before closing an accounting period. It brings key review steps into one place so you can validate revenue, costs, invoicing, inventory, and variance balances before locking the period.

This feature is designed for accounting managers, controllers, and administrators responsible for ensuring financial accuracy at the end of each accounting period.

Things to know

  • Completing checklist items does not close the month. Closing the month locks accounting records across all branches for the selected accounting period.

  • The checklist applies to the selected accounting period. Data in embedded reports and lists is automatically filtered to that period.

  • You can apply branch filters within embedded lists, but checklist completion and month closing apply to the entire accounting period.

  • Each completed item records a completion timestamp.

  • You can create multiple checklists for the same period. This does not affect accounting data, but using one checklist per period avoids duplicate review work.

  • Deleting a checklist does not reopen a closed month.

Important: After you close the month, you can’t edit or reverse accounting records for that period.

Requirements

You need access to the Reports module and the View Drilldown Reports – EOM Checklist permission, available in Admin → User Roles. Depending on the modules you review, you may also need access to Work Tickets, Invoicing, and Inventory.

The EOM process varies depending on your accounting setup. For the lists and advanced search formulas needed for your setup, visit End of Month Lists to Create for Simplified Accounting Solution (SAS) or End of Month Lists to Create for Standard Aspire Accounting Solution (SAAS).

How it works

When you create a checklist, Aspire generates a structured set of module-based tasks for the selected accounting period. Each module contains embedded reports or linked lists filtered to that period. If totals differ from other reports or dashboards, open the linked list and review the filters directly to reconcile the data.

When you mark an item complete, Aspire records the completion status, timestamp, and user. Completion applies to the entire checklist instance, not just the filtered view you were reviewing.

When you close the month, all accounting records dated within that period become locked across all branches and cannot be edited or reversed.

You review and complete tasks across modules such as Purchase Receipts, Work Tickets, and Inventory Review.

Validated

All required reconciliation steps are reviewed and marked complete.

Month Closed

You close the accounting period. Accounting records for that period are locked system-wide.

How this displays in Aspire

  1. Go to Reports > Standard Reports.

  2. Under Accounting, select EOM Checklist.

  3. Select a checklist from the list to open it.

The checklist displays a set of module cards. Required modules must be reviewed before closing the period. Some modules are marked Optional and can be skipped if not applicable to your workflow. Each task is also labeled with a frequency chip — daily, weekly, or monthly — indicating how often it should be reviewed.
