Article summary

The following table explains the options on the Actions menu of the Equipment screen. 

Menu Option

Description

Approve

This option is only available if you have Approve Equipment permission and the equipment is in Requested status. Selecting this option changes the status from Requested to Approved

Unapprove

This option is only available if you have Approve Equipment or System Admin permission; the equipment purchase has been approved, and the equipment asset does not yet have any reading log or service log entries. When this option is selected, the equipment status reverts to Requested.

Purchase

This option is only available if you have Purchase Equipment or System Admin permission. Selecting this option changes the status to Purchased and clears the In-Service Date if it had previously been provided. 

Mark In Service

This option is only available if you have Mark Equipment In Service or System Admin permission. Selecting this option verifies that the In-Service Date field has been entered and changes the status to Purchased if so.

Mark Out of Service This option is only available if you have a Mark Equipment Out of Service permission. Selecting this option requires that you desginate an Out of Service date. 
Add Reading

This option allows you to add an entry to the Reading Log to record the current reading of the usage gauge on the equipment (i.e. run hours). Selecting this option displays the Equipment Reading Log screen.

Reset Reading

Adds a meter reading entry that resets the meter reading for an equipment asset to Zero.  The Reset Readings option is only available if the equipment is In-Service. When the reset has been confirmed, an equipment reading with a meter reading of zero and trouble code of “Reset Reading” for the equipment asset.

View Services Due

This option allows you to view the service events due for completion based on the defined service schedules or services requested by crew leaders. Selecting this option displays the Due Services screen on which the list of services is displayed, and new service event log entries can be created.

Add Service   

This option allows you to view the list of all service events, regardless of whether they are due for completion. Selecting this option displays the All Services Screen on which the list of services is displayed, and new service event log entries can be created.

DisposeThis option is only available if you have a permission for Dispose Equipment or a System Admin permission enabled. Selecting this option displays the Dispose Equipment screen to collect disposal information and changes the status to Disposed.

Delete Equipment

This option is only available if you have Delete Equipment or System Admin permission. Selecting this option deletes the equipment and all associated event and service log entries.

Equipment Reading Log Screen

The Equipment Reading Log screen allows you to view existing reading log entries or to create new ones. It is accessed by first selecting New followed by clicking Add Reading option from the New button on the Reading Logs portion of the Equipment details screen. When you display the screen by clicking on a reading log entry, the information is read-only; you cannot modify the entry. When they display the screen by selecting the Add Reading option, it displays as pictured here, allowing you to record a gauge reading on the equipment (i.e. running hours). Observe that the Log Date is read-only and automatically filled with the date the entry is recorded. The reading date defaults to the current date but can be changed.

 Services Due Screen

The Due Services screen displays a list of services due for services of type Maintenance as defined on the service schedule for the equipment model or services of type Request Service that has been requested by crew leaders using the Crew Mobile App. This screen is accessed by selecting the Services Due section of the Equipment module. 

The list shows the service tag and service type for each service that is due. Items with a service type “Maintenance” are based on the service schedule. Items with a service type of “Request Service” are service requests submitted by crew leaders in the field.

Clicking on a service in the list displays the New Service Log screen, allowing you to add an entry to the service log, which records actual services performed on the asset.


All Services

The All Services screen is accessed by selecting the Add Service option from the Actions menu of the Equipment screen. The Add Service screen is identical to the Due Services screen except for its title and the fact that it displays all services for which the equipment model has service schedules regardless of whether the service is due according to the schedule.

Three different service types may be displayed as follows:

Maintenance

Scheduled maintenance can be defined for equipment models that become due at regular intervals based on distance (miles or kilometers) or time (hours).

Request Service (Requested by Crew)

Services that have been requested by crew leaders using the Crew Mobile App.

Request Service

Services that have been made available for request by crew leaders using the Crew Mobile App.

When you click on a service tag in the list above with the service type of Maintenance or Request Service (Requested by Crew), Aspire initiates the creation of a service log entry for that service tag by displaying the New Service Log screen.

When you click on a service tag in the list above with the service type of Request Service, Aspire initiates the creation of a service request by displaying the Request Service screen
