Key Updates
Vendor Invoice OCR
Note: This feature is currently in Early Access. If you are interested in being added to Early Access for this feature, please reach out to your CSM.
These updates introduce automated vendor invoice processing powered by OCR technology, designed to reduce manual data entry and reconciliation time for high-volume purchasing teams.
Automatically match vendor invoices to purchase receipts
Upload a vendor invoice PDF or image, and Aspire extracts key data — vendor name, invoice number, amounts, and line items — then matches it to your open purchase receipts. Instead of comparing invoices line by line, you can review the suggested match, confirm or correct discrepancies, and move forward faster.
Review matches in a side-by-side view
Compare the original invoice PDF against the matched purchase receipt in a dedicated review screen. Extracted fields are highlighted directly on the invoice, and discrepancy badges identify where invoice data differs from the purchase receipt so you can resolve differences quickly.
Manage scanned invoices from a central list
A new OCR Invoices page under Purchasing shows all uploaded and synced invoices with their current OCR status. Scan and match invoices individually or in bulk, review results, and delete invoices you no longer need.
Include email-synced attachments in the OCR queue
Vendor invoices received through email sync can automatically enter the OCR processing queue. An administrator can turn this on so your team doesn't have to upload invoices that have already been synced.
Control OCR access with new purchasing permissions
Two new role permissions in the Purchasing segment give you control over who participates in the OCR workflow:
Ability to Upload Invoice to OCR — Upload invoices and initiate or repeat the scanning process.
Edit PRs in match review status — Edit and confirm purchase receipts during the OCR match review process. Users without this permission can still view the review screen.
Configure OCR defaults in Administration
A new Enable OCR invoice matching on Purchase Receipts setting under Application > Purchasing determines whether new purchase receipts are opted in to OCR by default. A new OCR Status admin list lets you customize the display names for OCR processing stages — Scanning, Unmatched, Match Review, Complete, and Scan Failed.

Project Insights
Note: This feature currently is in Early Access. If you are interested in being added to Early Access for this feature, please reach out to your CSM.
Track crew performance and forecast profitability by production unit — the way large construction firms actually manage jobs. Instead of tracking raw labor hours, you can now estimate and monitor work by discrete unit completions (for example, "1 installed tree" rather than the individual stakes, compost, and mulch that go into it). Project Insights brings production-unit-based tracking to opportunities, estimates, work tickets, reports, and Aspire Mobile.
Set up and manage production units in the Item Catalog
Define Productivity Rate Items (PRI): In your existing kits, designate one non-labor item as the Productivity Rate Item — this is the core installed unit your project managers track in the field. The item's production factor and catalog category drive all productivity rate calculations, so minimal setup is required. For more information, visit Creating a Kit for the Item Catalog.
Set category-level variance thresholds: Configure acceptable tolerance ranges for productivity tracking at the category level. When actual production rates deviate beyond the threshold, project managers can review flagged entries for corrections, or use the information to make adjustments to the job before margins erode.
Enable production tracking on opportunities and estimates
Turn on Project Insights for construction opportunities: A new Project Insights checkbox on Fixed Price Ovep Billing (FPOB) or fixed price on completion (FPOC)opportunities activates production-unit tracking for that project. A new Project Manager field is also available on the Opportunity screen. For more information, visit Opportunity Screen.
View Productivity Rate Items in estimates: Before winning a job, estimators can open the View Insights estimate review Report. The report acts as a project forecast by grouping Productivity Rate Items by category to surface blended productivity rates, cost per production hour, revenue per production hour, and complexity factors at a glance. This gives estimators the chance to gut-check their production assumptions before sending out a bid or winning a job. For more information, visit Estimate Action Menu Reference.
Track production progress in the field and in reports
Monitor progress on work ticket visits: A new Project Insights tab on the Work Ticket Visit screen shows production data including: Category, Actual Qty, Actual Hours, Est Rate, Act Rate, Variance %. For more information, visit Work Ticket Visit Screen Reference.
Run the Project Insights standard report: A new standard report provides a consolidated view of production-unit tracking across projects, including estimated vs. actual productivity rates, cost per installed unit, and revenue per installed unit. Opportunity and work ticket information is quickly accessed from side panels on this report. For more information, visit Using the Reports Module.
Log production data from Aspire Mobile: Crew leaders log installed PRI quantities and man hours per visit directly from Aspire Mobile. Data syncs to the Aspire Cloud giving construction managers real-time field production data.
Site Audits 2.0
Note:
Site Audits 2.0 is available in Early Access. If you are interested in being added to Early Access for this feature, please reach out to your CSM.
General Availability, including enhanced mobile experience, integrated reporting, and additional capabilities, is planned for 1/13/2027. Your existing Site Audit workflows remain available during the transition.
Site Audits 2.0 replaces freeform audit configurations with a template-driven inspection experience. Administrators build reusable templates with standardized questions, sections, and scoring criteria, and auditors follow a consistent, structured workflow across every property. This release focuses on the foundational template and administration experience, with additional capabilities planned for General Availability.
Create and manage audit templates: Build reusable Site Audit templates through the new Template Builder. Define sections, add questions (text response, multiple choice, and multi-select), and set scoring criteria to standardize inspections across your organization.
Organize templates with tags: Create and assign tags to group templates by property type, service line, or any category that fits your workflow. Manage tags from the new Tags tab in the new Site Audits module.
New Site Audits navigation: Access Site Audits, Templates, and Tags directly from the left-hand menu by selecting the Site Audit module.
Start audits from the property page: Create a new site audit directly from a property record using the new Site Audits section. Select a template and begin the audit without leaving the property context.
New Site Audits permissions: Three new permission levels control access to Site Audits 2.0. Default View allows viewing audits, Edit allows creating and completing audits, and Admin allows managing templates and tags.
Feature flag–controlled rollout: Site Audits 2.0 is enabled through a feature flag, allowing your organization to transition at your own pace during Early Access.

Aspire Mobile Improvements
Note
Aspire Mobile improvements are available in Early Access. If you are interested in being added to Early Access for this feature, please reach out to your CSM.
This release includes new screens in the mobile app to improve field accessibility and project accountability.
New Contacts module: Configure user roles to allow Account Managers, Sales Reps, or crew leaders to search, view, edit, and create contacts directly from the app. This feature is configured in Administration and can be pinned to your bottom navigation panel. Recently accessed contacts are stored locally so you can keep working in low-connectivity areas.
Capture Project Insights: Track production estimates and actuals with the mobile Project Insights form. Crew leaders can log actual quantity and man hours per Productivity Rate Item from work tickets and compare to estimates.
Unified Cloud Sync icon: A single Cloud Sync icon in the top toolbar now indicates all sync activity, replacing the previous separate upload, download, and spinner indicators. The icon displays only while a sync is in progress or data is queued, and Spanish-locale users see “Cargando datos del servidor” in place of “Fetching data from server” during read operations.
